Context

The team loses track of what was discussed during a meeting.

Giving feedback on meeting minutes send per email after a meeting isn’t effective (nobody dares to give feedback in fear of the following email traffic)

Action

Write and draw the meeting minutes during the meeting an a white board. Capture all decisions, open questions and defined actions.

Before the meeting ends, everybody gives feedback whether the drawn meeting minutes reflect their understanding of what happend during the meeting. When the meeting ends, their will be no further feedback or reviews.

What you gain

It’s easier to keep track of everything that is discussed during the meeting because it is visualized immediately.

No time is wasted for reviewing meeting minutes after the meeting. No task switching that disrupts work afterwards. No email ping pong because the minutes are wrong.

How to strengthen

Train your moderators in visual facilitation.

Risks

Very complex topics cannot be visualized ad hoc.
