We are seeking a friendly, detail and service-oriented receptionist who will support facilities within our operations team. You’ll be joining a team that’s sharp, people-centered, and fearlessly future-minded. Our operations team creates programs and systems that strengthen our people, finances, and facilities. It’s a team of doers who are open to new ideas and committed to executing them seamlessly.
Who would do well in this role?
This person will be a self starter with at least a year of experience in reception or a facilities related role. You like ownership and will be solely responsible for the front of the office and creating a welcoming environment to all.
This role will proactively explore options to improve our space and will be responsible for everything from greeting visitors and guests to managing our relationships with multiple vendors, including correspondence with security, our landlord, and janitorial, in order to take tasks to completion.
We host several company events already like happy hours, retreats, and our weekly company all-hands on Friday afternoons. A “culture ambassador” in many ways, this position will be responsible for reviewing this experience for Medium, managing the execution of these kind of internal events, and iterating on different ways to improve them.

What will this role do?
- Greets visitors and ensure proper check in process
- Maintains safe, organized and visually appealing reception and public areas
- Maintain various calendars and assist with new hire onboarding
- Facilities management, including being backup for everything pertaining to the office from security, reception, janitorial, property manager relations, kitchens (all food related perks), maintenance, office supplies & vendor relations.
- Ensure adequate levels of stock and own supply ordering for all kitchen and office related goods
- Lead in setup of high profile meetings including board meetings, fireside chats and brown bags over lunch, and assist with externally sponsored events hosted at Medium offices
- Help implement and communicate culture and Medium values into the workplace. This includes internal events and many of the perks Medium offers to employees.
- Develop and integrate a safety response program for the company, including fire & earthquake action plans
- Help celebrate birthdays, new parents, and other special days
What are the minimum qualifications?
- 4yr college degree with 1+ years of reception experience
- Must have superior oral, communication & written skills including proficiency with Google applications
- Experience managing external food vendors for onsite meals and snacks
- This person will be highly adaptable and comfortable with change and ambiguity
- Must be a go getter with a friendly and energetic attitude, and an ability to partner with all teams and functions at Medium
