Trello is a very popular online project management system that is especially well-liked with small and medium-sized businesses, startups. What’s its secret and ‘magic’? — Trello has been modelled on Japanese kanban boards for effective work organization.

What is Japanese kanban?

Kanban is a visual system used to manage and keep track of work as it moves through a process. The word kanban is Japanese and roughly translated means “card you can see.”

Kanban boards are the biggest picture of a process that organizes broad aspects of a workflow. For example, a company may choose to have a different kanban board for different departments within its organization (i.e. finance, marketing, etc.). The kanban board is used to gather relevant processes within a single workspace or taskboard area.

Trello was created by Glitch (previously known as Fog Creek Software).

On January 26, 2017, PC Magazine gave Trello a 3.5 / 5 rating, calling it “flexible” and saying that “you can get rather creative”, while noting that “it may require some experimentation to figure out how to best use it for your team and the workload you manage.”

Let’s explore Trello in a little bit more detail.

The main advantages that allowed Trello to achieve its fame are:

  • simple interface;
  • free access;
  • integration with other online tools.

Simplicity

Trello is the simplest tool that is easy to implement into the workflow without sacrificing a lot of time. The entire interface is built on the basis of kanban boards.

To organize tasks, you can use card. As a rule, tasks are divided into:

  • to-do,
  • doing,
  • done.

You can upgrade this structure in a variety of ways, the only limit being your imagination.

Here’s a board on Trello:

Free access

Trello offers a free access for individuals or teams looking to organize any project. You can fully work in Trello for free — and this is not 30 days, but forever.

Obviously, there will be a limited functionality: the number of integrations and the volume of downloaded files will be limited. Still, included in free:

  • Unlimited cards
  • Up to 10 boards per Workspace
  • Unlimited storage (10MB/file)
  • 250 Workspace command runs per month
  • Custom backgrounds & stickers
  • Assignee and due dates
  • iOS and Android mobile apps

Not only Trello works in the browser, you can download the app for your smartphone or tablet and use the app whenever you want.

Convenience

Trello’s versatility and flexibility make it one of the most comfortable to-do boards. If you correctly build a company structure in Trello, then a team of 50+ people will be able to interact quite comfortably with each other, and you, as a manager, will be able to control key tasks and processes.

What Trello is really great for is the ability to quickly evaluate progress on all major operations at once, in real time and on one screen. This tool can be used as a personal organizer, diary, list, collective to-do manager… even as a forum.

To invite a person to a team or assign responsibility for a task, you just need to send a link. The registration procedure is very simple and fast.

Summary

What is Trello? It is one of the simplest and most convenient project management systems. It is universal, user-friendly, flexible, with an open API, and most importantly, free. Its greatest strengths are the ability to track the status of different tasks on the same screen.

Disadvantages:

  • Trello functionality is not enough for large companies;
  • On small screens Trello becomes less comfortable;

Despite some shortcomings, Trello is being actively implemented by companies in a wide variety of fields. This is a great online solution for organizing work quickly and easily.
