How to automate the Lead Gen process from Facebook to Pipedrive and do not hit the roof?

Over the last 9 months, Adlots team have been developing a product that will help marketers and sales department to automate lead generating and to simplify the qualifying process.

Adlots is a lead generation system that allows collecting leads from your website, landing page, and Facebook straight into Pipedrive CRM automatically.

Flashback

Our company has several businesses under one name. From the very beginning, marketers run lead generation using Lead Ads on Facebook and Instagram platform for each of them. The next step was to gather all leads in one place. We have chosen Pipedrive — easy to use, user-friendly CRM.

A headache we struggled with

On a daily base responsible person, who has an access to facebook ads manager, should export all leads from the previous day and import them to Pipedrive. We got to grips with the problem of manual lead creation and assignment.

But it was only the tip of the iceberg.

We faced the problem that some of sales reps received more leads than others, some information was lost or incorrect, a lot of duplicates were created. Sometimes new leads were not assigned to anyone and no one even qualified them.

All we have was a bunch of lost leads, wasted time and money. The leads generating process has gone haywire.

It was obvious that we need to find a tool that will automatically assemble and send leads data to Pipedrive and distribute it between sales reps as well as to check if leads already exist in Pipedrive.

Solution

We’ve analyzed a lot of automation and integration apps but some of them were too expensive, other had just one of the features we need. A lot of systems have limits on the number of Facebook business pages and Lead Ads that could be processed.

Nothing left except to develop a product that will provide all the necessary tools with no limits.

We started to build Adlots as an internal product that will help marketers and sales reps in our company to spend less time on manual work and increase their focus on sales.

So basically Adlots employees became first testers of our system.

It took some time for developers team to design and release Facebook business page and Facebook Lead Ads integration and publish Adlots to Pipedrive Marketplace.

Everyone who uses Pipedrive can install Adlots and get access to the personal account. When App has been installed it receive Pipedrive users and arrange them in a distribution queue.

Next step is to connect Facebook Business Page to Adlots account using the simple onboard wizard. It can be one page or several as it was in our case. We connected two Facebook pages for different companies in Pipedrive using one Adlots account.

That connection allows Facebook Lead Ads capture a new lead on Facebook, transfer it to Adlots and Adlots, in turn, automatically add or update a person (and/or a deal) in Pipedrive and assigns it according to lead distribution queue.

Adlots use similar flow to convert other activities into leads:

- Like or like back the post, video or photos;

- Leave or delete a comment to the post, video or photo;

- Write a message on the Facebook page.

When a new message or comment on Facebook is received, Adlots adds or updates a person in Pipedrive.

Adlots Features

All captured leads will be assigned to Pipedrive users automatically.

Adlots Lead Distribution algorithm automates the delivery of digital leads to Pipedrive users and allows to distribute leads between users in different pipelines.

Days off and vacation for each user in the distribution queue could be customized.

Lead scoring models allow to assign a value to leads automatically, nurture leads and score them based on the criteria that matter to you most.

Since the entire process was automated within a short time, we killed two birds with one stone. There wasn’t confusion in terms of the leads assigned, the sales team had a clear view of who is the lead owner and how many leads were assigned to him. All leads’ data were automatically transferred from Facebook straight to Pipedrive with no manual work and losses.

Customer acquisition can take many forms. You can use Facebook lead ads for a quote or demo requests, newsletter subscriptions, event registration etc.
