
Getting started with Clever.do Task Management App
Introduction
Clever.do is an app that works on the Prioritisation Matrix. It gives you the opportunity do not waste time on tasks that don’t deserve your attention, stay focused, and organize your day optimally and effectively. This app allows you to get a good overview of all the tasks on your plate and monitor your progress. Using this information you can double your productivity and reduce stress.
Clever.do app is broken into 3 main working spaces: Inbox, Quadrant, Inbox + Quadrant (Combined). The three spaces are accessible from the top navigation, where you can switch on/off different spaces to have full overview on one screen.

In addition you are provided with several helpful views of the tasks: Today View, This Week View, Timeline, Completed Tasks View.

This tutorial will discuss how to start with Clever.do, how to work with Prioritisation Matrix and provide information about each working space of the tool.

1.Inbox
Inbox space gives you the opportunity to create all your tasks in the same place. Inbox just displays the list of tasks added to Clever.do without prioritization.
Starting to work with this space you need just add your tasks to the Inbox. After the task is created you have the opportunity to pin this task to a certain project and mark a deadline/due date of the task. As long as the task is not prioritized, the task is going to stay in the Inbox space.

2. Inbox + Quadrant (Main Space)
This space drives you to action. Your second step is to prioritize your tasks. At this space just drag and drop already created tasks from your Inbox to an appropriate quadrant.

3. Quadrant
Free your mind with Quadrant space! This space displays tasks in the Priority Matrix where all your tasks grouped by appropriate quadrants. It helps you to see where your focus should live and follow your priorities without feeling any urgency. Here you can observe your tasks by projects, deadlines, things you shouldn’t do, and tasks you can easily delegate.
In each quadrant you can also do task dropping in order to have full flexibility to change priorities, and add due dates. You can add notes to the task, delete old tasks or mark their status as done (this will give you an opportunity to see all accomplished tasks in the Complete View and measure your progress).

4. Prioritisation Matrix
To double your productivity and effectively prioritize your tasks in Clever.do you should know how works Prioritisation Framework. There are 2 axes in the Matrix: Impact for the company (Y-axis) and Likelihood of success (X-axes).
Y-Axis:
All of your tasks, projects and activities have value (= the impact they make for your company). Some of them ideally have big impact for the company and can be seriously quantitative or softer.
X-axis:
All your tasks and project also have a likelihood of success (low or high). Some of them are easy/fast to gain, some hard.
Using this attributes, you can plot all your tasks on 4 quadrants, with a certain role each.
Quadrant:
Strategic Initiatives:
Here you as a leader should be focused on. Include here tough and important stuff, that requires creative strategic thinking, it could be long-term goals.
Here could be: new markets strategy, performance review
N.B. You can wonder why the most important quadrant have low likelihood of success in the axis?
Well, let’s say you are going to start a new project and you are sure it’ll have high impact for your company. Despite it, you are just on the initial stage of the process and much hard work will face you. You should choose “strategic initiatives”quadrant because it’s super valuable but unlikely to succeed soon in its current state.
Home runs:
Include here high yield, more straightforward tasks and events. You can easily outsource this to your highest performers as stretch goals that will be super empowering when they work out.
Example: You and your team starts leadership training program for new managers. The value for the company here is high and the likelihood of success as well, in case you start it in time.
Here could be: email campaign launch, leadership training, etc.
Shouldn’t be doing:
This tasks and events should get nixed. It could be a meeting you don’t need to got to, or a bunch of emails that don’t deserve your reply. When you are busy — this is the first stuff to drop and cancel.
Housekeeping:
Tasks and events in this quadrant could be easily delegated (fex. to your secretary) or done at the end of the day.
Here could be: status report, organize a business trip
*Clever.do Hack:
You’ll be 100% productive if you keep this rule of Clever.do quadrants — each quadrant should have different timeslots, while 1 and 2 quadrants mainly can take 80% of the day, the 4th quadrant can take only 1h / day from 5pm to 6pm or only Friday afternoons.
