Keeping up with Asset Management technology is the key to building the best Inventory System. ASAP Systems, the leader in Inventory management System and Asset Tracking solutions based in Austin, Texas is always current and provides your Inventory System with the right, individualized Asset Tracking Solution.

Every business owner faces the challenge of managing assets and preserving their condition. However, businesses tend to track their maintenance manually which has a higher risk of human error, such as entering incorrect data or missing scheduled maintenance.

To ensure every asset is accounted for, properly maintained, and replaced when needed, it is essential to implement an Inventory System. This Asset Tracking Solution needs to be flexible, user-friendly and also provide configurable features such as different types of maintenance events, alerts, and full reporting. This is what we offer at ASAP Systems.

It is not difficult to implement this maintenance solution with ASAP System’s Asset Maintenance feature. The “Schedule Maintenance” Feature is an Advanced Feature Module, which allows users to perform one-time or recurring events on assets. These could be routine maintenance such as an annual re-image of a PC, monthly inspection, etc… or they could be one-time events such as a broken screen, or a flat tire change.

For instance, a Logistic Company has over 100 vehicles used for shipping. These vehicles need constant maintenance, such as changing engine fluids, performing tire rotation, or inspecting brakes.”Schedule Maintenance” allows this company to be able to automatically schedule recurring events on every vehicle. The Logistic Company can now ensure the timely and proper maintenance of every vehicle.

Asset Maintenance

Maintenance types can vary:

Corrective maintenance, where the asset is repaired or replaced after wear, malfunction or break down.

Architectural conservation which involves the preservation, rehabilitation or restoration of the asset.

Preventive maintenance, with the intent of avoiding failures, safety violations.

Remember, according to the asset type, the user can configure the maintenance.

Let’s take another example, a school has switched 300 of its whiteboards into smart boards. These boards need maintenance for HD display, screens, projectors, lamp hours, cleaning, etc…
With so many vital maintenances, how is the school supposed to track them all? “Scheduling a Maintenance” Feature can properly manage this maintenance and prevent its boards from malfunctioning. Also, the Inventory System will alert you of the upcoming scheduled Maintenance to ensure one is never missed. These alerts can be configured by the user. The user could choose to be alerted two months, one month or one week before the designated Maintenance date or simply the scheduled day even when the due date has passed. The user also has the ability to configure the alert type, the person to be alerted, and the alert content. The user could simply choose not to be alerted at all. It’s all about what the user wants and needs.

Let’s take the example of a bank. The bank owns over 400 ATMs which need continuous Maintenance. The bank opted for a monthly maintenance plan, to ensure continuous functioning. Therefore, the Asset Maintenance Feature ensures every ATM is maintained monthly. The bank can also enable the alert feature which lets the maintenance team be alerted of upcoming events.

Perform Maintenance” allows the users to perform a maintenance that has not been scheduled or to perform a pre-scheduled maintenance. The users fill out information about the performed maintenance like the date of the maintenance and by whom it was performed. Also, they have other options that include the ability to add labor/parts cost as well as pictures and documents.

“Perform Maintenance” is used in unexpected repairs. For example, a truck from the same Logistic Company had a tire punctured from a screw on the road. This truck needs an emergency repair, which the company can record through the “Perform Maintenance” feature. The company fills out the date of the occurrence, the cost, and by whom it was repaired.

ASAP System’s Asset Tracking is designed with configurability in mind for users to maximize efficiency and success. Companies in all industries, like schools, universities and government agencies, can benefit from this feature allowing your business to stay ahead of the game in maintaining your Assets.
