Inserting Text Boxes in Adobe Acrobat

Adding text boxes to PDF documents allows you to add annotations, insert comments, and add dynamic content to enhance the document’s layout and information presentation. Adobe Acrobat provides two primary methods for inserting text boxes: using the Text Box Tool or the Overlay Text Tool.

Method 1: Using the Text Box Tool

  1. Launching Adobe Acrobat: Open the PDF document into which you want to insert a text box.
  2. Accessing the Text Box Tool: Click on the “Tools” menu and select “Annotate” or alternatively, go to the “Comment” tab and click on the “Comment” icon.
  3. Activating the Text Box Tool: In the Annotations panel, locate the “Add Text Box” tool. Click and hold the icon until a dropdown menu appears. Select the “Text Box” option.
  4. Drawing the Text Box: Click and drag on the PDF document to create a rectangle that will serve as the text box’s frame. Adjust the size of the text box by dragging the control points.
  5. Entering Text: Double-click inside the text box to activate the text input field. Type the desired text into the box.
  6. Formatting Text (Optional): Right-click on the text box and select “Text” from the context menu. In the Text Properties panel, customize the text font, size, color, and alignment.
  7. Positioning and Adjusting the Text Box (Optional): Drag and drop the text box to adjust its position and use the ruler to precisely position it.
  8. Saving the Document: Save the PDF document to finalize the text box insertion.

Method 2: Using the Overlay Text Tool

  1. Launching Adobe Acrobat: Open the PDF document into which you want to insert a text box.
  2. Accessing the Overlay Text Tool: Click on the “Tools” menu and select “Comment & Markup” or alternatively, go to the “Review” tab and click on the “Comment” icon.
  3. Activating the Overlay Text Tool: In the Annotations panel, locate the “Insert Text Box” tool. Click and hold the icon until a dropdown menu appears. Select the “Overlay Text” option.
  4. Inserting Text Box: Click on the desired location in the PDF document where you want to insert the text box. Type the desired text directly into the document.
  5. Formatting Text (Optional): Right-click on the text box and select “Text” from the context menu. In the Text Properties panel, customize the text font, size, color, and alignment.
  6. Positioning and Adjusting the Text Box (Optional): Drag and drop the control points around the text box to adjust its size and position within the document layout.
  7. Saving the Document: Save the PDF document to finalize the text box insertion.
