Create a Project in Asana

When a deal was won and we got a signed proposal, I created a Zap that used the “Won” stage in Pipedrive as the trigger to create a new project in Asana.

Asana is where we tracked project tasks and did our scheduling using their Kanban Board feature.

For tasks, we automatically populated the following tasks that were present on every case to help our admin team follow our post-sale process:

We also captured additional information about the project so our admin team did not have to copy and paste information which made it easier for them to focus on providing excellent customer service and ensuring a smooth handoff from sales to PM.

Previously, this was all done in paper folders, and projects were scheduled out on a dry erase board. So not only did this system create efficiencies due to the elimination of redundant data entry and accompanying typos, but it also gave us much better records for past customers.

Previously, when past customers would ask for specifics for their past jobs, like paint color, we were not able to tell them. But now, the team will be able to quickly search for those past jobs and give important details about the project.

Helping give faith for past customers that we know what we are doing and are the right choice to do their future project(s) too.
