The role

As the Executive Administrator, your role falls into three main responsibilities:

  1. Partner administration
  2. Office management
  3. Community hosting

Working with the general partners of the firm, you will play a central role in owning and managing their daily schedules, booking travel, and lightly assisting them with personal matters. You will also manage day-to-day office operations and serve as the main point of contact for all office inquiries. Finally, you will be a public-face for Crosscut, hosting our events and acting as a concierge for our community.

Details

Partner administration

  • Own and manage partner calendars to prioritize and maximize their time
  • Respond to all requests to meet with partners in a timely manner and follow through to scheduling
  • Schedule internal and external meetings, often across timezones
  • Book domestic and international travel and accommodations
  • Ensure partners are where they need to be when they need to be there

Office management

  • Manage the flow of people in a dynamic office environment during business hours
  • Manage a junior executive assistant
  • Greet all guests who visit the office and ensure they have what they need for their meetings
  • Coordinate the team to ensure people are where they need to be when they need to be there
  • Serve as the main point of contact for all office inquiries (vendors, maintenance, etc.)
  • Work with our CFO to manage payroll, benefits, and other team administration
  • Manage inventory of office supplies, snacks, and other office needs
  • Organize off-sites, team-building activities, and celebrations for birthdays/anniversaries
  • Coordinate lunch for the team and guests on busy days
  • Maintain the general order of the kitchen, common spaces, meeting rooms, equipment, etc.

Community hosting

  • Deliver hospitality as a host and public-face for Crosscut at events
  • Assist with the planning and execution of Crosscut events
  • Be a connector and center point to the Crosscut network at internal and external events
  • Serve as a concierge to the Crosscut community for all external people
  • Proactively introduce people within the Crosscut community to each other
  • Eventually, predict the needs of the partners and proactively manage their relationships

Required skills and experience

  • 5+ years of experience as an executive assistant or executive administrator
  • 2+ years of experience as an office manager
  • Organized, detail-oriented, proactive and self-motivated
  • Exceptional client services skills over the phone and in person
  • Proficient in Google’s G Suite and other everyday software tools
  • Excellent written communication skills and the ability to process a high volume of email with clarity and accuracy
  • Experience managing a junior executive assistant or office manager, a plus
  • Experience as concierge/hospitality manager/community manager, a plus
  • Experience with event planning and execution a plus
  • Experience with early-stage startups and/or venture capital a plus
