What to do before starting your event to set you up for success

Getting everyone on the same page

To ensure your entire team (everyone involved in the project) is aligned on the actions to take and expectations we recommend setting up a ‘Fundraiser Planning’ call at least 5 days to a week prior to the day the event is scheduled to begin. Our team is available to join these calls to help answer any questions.

Marketing Material

Prepare any marketing material you think your team may need. We recommend creating a flyer via Canva and include a QR code to hand out to all team members and parents.

Frequent Reminders and Updates

Leading up to the event it is important to remind everyone of event start dates and goals at every opportunity possible. Reminding parents and students at drop off and pick up, bulletin boards, daily announcements, and group forums will ensure it is fresh on everyone’s mind and everyone is hearing the same message.

Hitting your goal!

We find it is helpful to confirm with each parent how many chips each team member needs to sell for the team to hit their target this way they know the minimum number of people that should purchase chips. Our team can help calculate that if needed, just let us know. This helps with progress since the events only last 7 days.

Promoting your event

Coaches and staff to be actively involved and encouraging the team daily. Avoid group text messages and tagging groups of people in social media posts. These are often seen as spam-ish. Message your network of family and friends individually. Rule of thumb, send text messages to friends and family while the sun is still shining. Promote the Canva flyer (If one was created) on your personal and business page social media. Be as descriptive as possible and include why you are fundraising and the impact it will have on your team! Parents, take your flyer to work and try to gain support from your coworkers, see if you can even post in the break room.

Heres a few tips for Facebook and Instagram:

  • Facebook — Include your fundraiser event URL and Canva flyer in EVERY caption. The link to your fundraiser will become clickable to viewers.
  • Instagram — Post your Canva flyer to your page. Your fundraiser event URL will not be clickable in your caption so we suggest you edit your Instagram bio and add your URL link there. Include “The link to our fundraiser is located in our bio!” in your caption or story post.
