Optimize your time
Today we have hundreds of tools that help us to be more productive, but with so many possibilities we may choose applications that are not the most appropriate, or even in the combination that we put together end up being more of a problem than a solution, making us spend more time, effort and reducing the results.
To avoid that is that in this article I will give my productivity ecosystem, it does not mean that it is the best, but after years of testing I find this system the one that best suits me. Divided by categories and briefly commenting the applications I use.
Calendars
The essential to have order is a calendar, in my case 2.
On the one hand I use Google Calendar For everything related to work, and to this I add Apple Calendar, which I use for things like setting aside space for training, writing or studying, and also personal projects.
Reminders and tasks
In addition to the calendar theme, I have 2 task Apps.
First TodoIst, which is only for more household to-do lists, such as a shopping list. And secondly Apple Reminders, where I load all work related reminders and personal projects.
As additional inside Notion, I have a long term task tracking section, this I divide it as it allows me to take notes over time without having to extend a task.
It is important to note that all reminders have a day and time alert. As a key to productivity, I take that moment to accomplish the task without excuses, and in case I can’t, I have to assign a new time to accomplish it.
Notes
As a quick place to go to I use Apple Notes, it’s simple, fast and fulfills the main function I’m looking for, notes… I can not only use it easily from all my devices, but it has small additions thanks to being part of a larger ecosystem (the whole Apple ecosystem) and allows details such as saving a link or image in seconds from safari, or even images.
Additionally, as a main tool for notes enters again Notion, but since it is much more comprehensive than just notes, I use it when I have more time or what I’m going to write is longer, and even if I’m going to work in stages.
Mails
It’s easy to get lost in mails, so here it’s more a methodology of order. I don’t leave mails unread and I divide everything in only 2 Apps. Gmail for my work accounts and Spark for my personal accounts. The advantage of the latter is that it intelligently filters the mails by categories and it is much easier for me to organize myself, plus it integrates accounts from different providers and shows me all the mails in a single view.
Project manager
For this I rely on Monday, it is a powerful tool, which includes the capacity of a CRM, but also that of a project manager, which can be simple to complex, including the possibility of integrating it with Github, which for software development, or Cloud solutions is key.
Second Brain
And the jewel in the crown, the best methodology that I implemented recently, Second Brain, and for this I rely on all the above but with a “command center” which is Notion, but not only to take notes, but to organize everything.
As an example, here I have professional and personal projects, a habit tracker, study planning, etc.
Everything in a click away, from the mobile or from the pc, I can easily access, update the data and see in what state they are.
Basically, it is a way of organizing and managing information that deserves an exclusive article.
