Discovering the Power of Power BI: Exploring the Strength of Paginated Reports! šŸš€

The most remarkable aspect of Power BI is its ability to group, consolidate, and visualize data. However, what should we write if we want to print and display any visual from the report, or if we want to print all the data in the table by scrolling down? Power BI can only print what it can see in this visual.

ā€œIn this article, we will focus on a sample dataset that encompasses all Nobel laureates (individuals and organizations) awarded the Nobel Prize since 1902. This dataset belongs to the ā€˜Nobel Prize Winnersā€™ dataset available on the Kaggle platform, which you can access here.ā€

However, with Power BI paginated reports, you can print a Power BI dataset and create a report. In this article, Iā€™m discussing how to create operational reports using the Power BI service, the shortcomings of Paginated reports, and the use of Report Builder to address these deficiencies. So, why should we use paginated reports?

  • They can be exported in various formats.
  • Another important point is that the reports can be saved as snapshots. This way, you can access the report whenever you want.

You can save reports in PDF format using Power Automate and then access them. This also means distributing reports to individuals who do not use Power BI.

  • For legal reasons, for instance during audits, you can add time elements like the date of report generation to the report. These reasons are important for utilizing paginated reports.
We need a license to create operational reports.

Thereā€™s a previously published report and dataset in the workspace. When you click on the dataset, you can create an operational report using the tables in the Power BI dataset.

Creating this report is quite limited, but the features related to creating Paginated reports on the service are continually updated.

Firstly, weā€™re focusing on how to create a Paginated report in the Power BI service. Click on Create a report and select Paginated report.

Then, add the fields you want to appear in the report.

You can add filters to operational reports. You can use it to filter all tables in the data model.

If you want, you can make your table look different. By clicking on the Build menu, you can use different styles to apply to our data.

If your report spans multiple pages, you can navigate from page to page.

Afterward, you can save your report and view it whenever you want.

All the different options needed to export the report are available.

All of these are great features to start with for operational reports. However, creating an operational report using the Power BI service is quite limited. For example, you canā€™t use parameters, you canā€™t perform sorting, and you canā€™t choose formatting as you wish. However, you can save and download the report. By using Report Builder, you can add the features you want to the report.

Letā€™s click on the ā€œFileā€ tab and download the report.

If you donā€™t have Report Builder installed on your computer, you can download and install it from this download page.

If you open the downloaded .rdll file, Microsoft Report Builder will open.

Power BI data dataset is a data source for Report Builder. A dataset in Report Builder is a query.

When we run Report Builder, we will obtain a view similar to the report we prepared in the Power BI service. To return to the report designer, click on ā€œDesigner.ā€

To format the desired field, double-click on the relevant area. Here, you can apply formatting similar to Excel.

If you want to add a title to the report, select the Header section from the Insert menu, just like in Microsoft Word. Then, place the title where desired.

Letā€™s run the report again and then save it back to the workspace.

Go to the workspace and run the report. If you want this report to be published regularly, you can ā€œsubscribe to report.ā€

Click on the opened button, then click ā€œadd new subscriptionā€ to set up regular publishing.

After installing the report builder, we opened the file created in the Power BI service with Report Builder. We edited the report and published it again.
