Welcome to Day 26 of the Toastmasters Journey Series! Today’s theme is “Joining an Executive Team.” Often, when we see top global leaders, especially those who are very famous and at the forefront, we forget that they ride on the wings of supportive team members. In this post, I will shed more light on the Toastmasters club executive team and the different executive team roles in Toastmasters.

How an Executive Team Operates in Toastmasters

The executive team in a Toastmasters club is responsible for managing the club’s operations, planning events, and ensuring that members have a positive and enriching experience. Here’s how it typically operates:

  1. Regular Meetings: The executive team meets regularly (often monthly) to discuss club business, plan upcoming events, and address any issues or challenges. These meetings are crucial for maintaining effective communication and coordination.
  2. Role-Specific Responsibilities: Each executive member has specific responsibilities:
  • The President oversees the overall operation of the club.
  • The Vice President Education manages the educational program.
  • The Vice President Membership handles member recruitment and retention.

3. Collaborative Planning: The team collaborates on setting goals and planning activities. This includes organizing speech contests, workshops, and social events to enhance the member experience.

4.Decision Making: Decisions are made collectively, often through discussion and consensus. This ensures that all perspectives are considered and that the team works together towards common goals.

5. Member Engagement: The executive team works to engage and motivate members. This includes recognizing achievements, providing support and resources, and encouraging participation in club activities.

6.Reporting and Accountability: Each executive member reports on their area of responsibility, providing updates and seeking input from the team. Accountability is maintained through regular reporting and feedback.

Different Club Executive Team Roles

  1. Vice President Membership: The Vice President Membership is responsible for managing membership and attracting new members to the Toastmasters club. This role involves welcoming guests, following up with potential members, and ensuring that the club maintains a healthy membership base.
  2. Vice President Education: The Vice President Education focuses on helping members progress in their educational paths. This role involves scheduling speeches, organizing educational sessions, and ensuring that members achieve their personal and professional development goals.
  3. Vice President Public Relations: The Vice President Public Relations is responsible for outreach and increasing awareness of Toastmasters through social media and other channels. This role involves creating promotional materials, managing the club’s online presence, and publicizing events.
  4. Treasurer: The Treasurer handles the finances of the club. This role involves managing the club’s budget, collecting dues, and ensuring that financial records are accurate and up-to-date.
  5. Secretary: The Secretary is responsible for maintaining club records and handling administrative tasks. This role involves taking minutes at meetings, keeping track of membership records, and ensuring that club documents are organized and accessible.
  6. Sergeant at Arms: The Sergeant at Arms is responsible for setting up the meeting room and ensuring that the club meeting progresses smoothly. This role involves managing the meeting logistics, such as arranging seating and setting up equipment.

Joining the executive team of a Toastmasters club is a rewarding experience that offers numerous opportunities for growth. By understanding the roles, and gaining insight into how an executive team helps a Toastmasters club, you can make a decision whether you want to become a part of it or not.
