  • Start with a Personal Greeting: Address your recipient by name. If you’re not sure who will receive your email, take the time to find out. “Dear [Recipient’s Name]” is far more appealing than a generic greeting.
  • Highlight Relevant Skills and Experiences: In your message, mention a couple of key skills or experiences that make you a perfect fit for the role. For example, “As a marketing enthusiast with hands-on experience in social media management and a strong analytics background, I am excited to apply for the marketing internship at [Company Name].”

When emailing in an internship application DIRECTLY to a contact (not through a job board), I suggest the following:

1. Send the email from a professional email address or a university email address. Do not use an unprofessional email name.

2. The actual note in the email should be short, sweet, and to the point. If you were writing us a note it could say something like:

Hello Jachonet Hill,

Attached please find my cover letter and resume for the Winter 2023 internship at HustleWBalance Studio. I’m currently a senior at the University of Santa Barbara California and I am eligible to receive college credit for this opportunity. I am looking forward to hearing back from you and your team.

(Your Name)

3. Attach your cover letter and resume (in separate documents) to the email. Make sure you update your resume and cover letter so they are relevant to the internship you are applying to, have transferable skills, and are tailored to the internship even if all you have is related coursework or organizations.

4. Save your emails with professional titles. My resume is saved as Jachonet Hill Resume and my cover letter is saved as Jachonet Hill Cover Letter. Sometimes I’ll input the job title or company in the title too.

5. Make sure you delete old versions of your resumes and cover letters so you don’t get confused and send old versions to employers. Another approach is to create different folders and categorize your resumes and cover letters by industry, job title, type (internships, part-time, volunteer, etc.), or company, so you can easily find prior versions to update or recreate.
