Undue Advantage of Job Position at Workplace with respect to Attendance

Branch level:

With more than 14,000 plus employees spread over more than 1500 branches and at the head office, HBL is unable to keep a strong check on its employees. It has been observed that at branches, the Branch and Area Managers (BM and AM) take undue advantage of their positions. They take their own time to report to their offices simply by informing their higher management that they have been busy with clients and high potential customers. There is no proof as to when the BM or AM has entered the branch premises and has conducted branch related issues and resolved customer complaints.

Head office level:

Similarly, at the Head Office, besides the routine work, employees are sent for product training or to participate in training that can help groom themselves. For the head office, a separate department known as Learning & Development is located just across the Head office at another building. Employees nominated for training give false statements of attending the seminar or training.Moreover, most of the managers are asked to travel to train or conduct meeting in other cities of Pakistan or overseas. During such events, attendance of such employees are not reported instantly to their supervisor.

Solution:

A biometric device should be placed at the entrance of the Head office and the branches/ Regional Headquarters, the mechanism of which should be in such a manner that a consolidated report of all sub-ordinates reporting to a certain Manager should be sent to him/her on a daily basis at day end. Only first and last entry, that is, at least one hour before and after working hours should be recorded. The system should be able to trace the thumb impressions of employees at any city and should be linked to the correct person. This will help improve customer service and on time delivery of solutions in case of customer complaints at branches as well as at the Head office.

In case someone has taken an off or unable to report on time, a notification should be sent to the Manager so that he/she is aware of their absence and can take necessary actions.
