One thing I would add to this: if any participants are in the same location, make them join the video conference independently, from different rooms.

This helps avoid co-located participants subconsciously sharing more amongst themselves (body language, subtle facial expressions).

Joining the call separately also improves audio quality, makes remote participants less likely to feel like the meeting is only happening via videoconference because of them, and makes everyone feel like they’re on equal footing.

We introduced this rule almost 4 years ago now at Pilot, and it’s been instrumental in making remote work.
