How to prepare a well-organized Presentation?

When giving a presentation, the speaker provides the audience with a variety of information. A successful presentation must have a clear framework in order to capture the audience’s interest and make it simple for them to understand what you are saying. If the speaker becomes sidetracked or loses his or her position while speaking, a clear framework will also be useful for him. Besides, the time allotted for a presentation has a restriction. Therefore, a lot of subjects, information, examples, and proof have to be covered in these condensed time frames. So, we cannot convey to our audience effectively without producing a presentation that is well-structured.

Before giving a presentation, you should consider a few key factors. For instance:

  • Thinking about your audience, length of your speech.
  • You should be clear what the main message is and what the purpose of your speech is.
  • You should ask yourself “Why am I speaking?”

You can break up your entire presentation into a few portions to better arrange it. Like as:

  1. Introduction
  2. Body of the Speech
  3. Conclusion
  4. Thanks the audience & invite for question

Introduction:

  • You can use Good …..(morning/afternoon/evening etc.)…… everyone to start your speech. Then you should introduce yourself by adding your name, designation, your background etc. Then you should mention the topic you’re going to talk about and also the purpose of your speech.
  • You can give an idea about the topic to the audience and also the major points or areas of your speech and all sub-topics which you added in our speech.
  • For catching the attention of the audience you can give an idea of your total time distribution for each and every part of your speech.
  • You can give a signal for interference of the audience. You can add a line here, “At the end, I would be very happy to answer your questions.”
  • Note taking is an important part for a good presentation session. There will be a lot of information in a speech. So, it is not possible for the audience to get all the information. So, you can make sure by saying “I’ll provide handouts after the presentation” or you can also give instructions to the audience to take notes.

Body of the Speech:

  • In the body section, you have to cover all the promises which you mentioned before in the introduction section.
  • For delivering well organized speech you can talk in different segments. To organize the speech, main points can be ordered following top priority or chronological order.
  • Main points should be discussed one by one with supported evidence and examples. You should give a short summary before moving from one topic to another and also can give a signal by you speech by saying that “I’m moving to another topic.”
  • You should allow time for the audience to take notes before moving into the next topic.

Conclusion:

In conclusion part, you should summarize all of the main points which you discussed in you speech to clarify the purpose of the speech. You can start you conclusion by saying, “Now , I’m going to end …(summarization of main points)…” or “In this speech I wanted to…(summarization of main points)…”

Thank the audience & invite for questions:

At the end, the speaker should give thanks to the audience. To make the presentation more interactive, speakers can invite the audience for questions. It will also work as a feedback or complement of your presentation. After-all, if you keep a Q&A session in the last part of your presentation it will build a good connection between the speaker and the audience. Audience also can get a chance to clear their confusion.
