Feedback is more than just commentary; it is a dynamic process aimed at achieving specific goals. The primary objectives of feedback are to bolster confidence, enhance effectiveness, and ultimately benefit the recipient. However, it’s crucial to distinguish what feedback is not. It’s not a platform for gossiping about someone, a tool for setting expectations, a channel for escalations, a forum for judgment, or a space to vent complaints.

The Art of Giving Feedback: A Strategic Approach

When giving feedback, always keep the overarching goals in mind — strengthening confidence, increasing effectiveness, and benefiting the receiver. Effective feedback embodies specificity, timeliness (earlier rather than later), a focus on behaviour, and a conversational tone. The feedback formula encapsulates the process: Share your feedback, transform it into a dialogue, suggest actionable steps, and extend assistance. Consider a constructive feedback scenario:

Instead of saying, “Last year, you were rude to the intern,” you might express it as, “This morning, I observed you raising your voice at the intern during the team meeting. I felt concerned for her well-being. If there is anything which is bothering you do let me know if you need any support”

Rather than a straightforward, “Your standup updates are awesome,” you could offer more specific feedback like, “I’ve noticed that your update during the standup is consistently clear and concise. This contributes to maintaining the brevity of our meetings, which is highly beneficial. Please continue doing the same and let me know if you need a pair on how we can make it beyond better :)”

Receiving Feedback: An Art of Open-Mindedness

Receiving feedback gracefully is an art. Cultivate the right mindset by recalling the goals of feedback, assuming positive intent, and being open rather than defensive. Actively listening is paramount — pay attention, seek clarification, delve into specifics, understand the emotional nuances, and practice paraphrasing and summarising. Post-feedback, express gratitude, introspect, and take actionable steps towards improvement.

Asking for Feedback: Nurturing a Culture of Growth

Proactively seeking feedback is a proactive step towards personal and professional development. When to ask for feedback? Frequently, and especially soon after an event to ensure the details are fresh. Who to ask? Seek input from those you collaborate closely with and individuals with diverse perspectives. What to ask about? Focus on the areas you aspire to improve, framing specific questions to garner constructive insights.

Real-Life Examples: The Power of Feedback in Action

Most of the companies have a annual/biannual/quarterly performance cycle and people wake up at the end game to receive feedback which dilutes the whole purpose as it remains just a ritual to complete documentation. Some Techniques we adapted in the team that really worked wonders:

  1. Have a dedicated feedback slot once in two weeks or monthly upfront in the team calendars and make sure at least 60% team is present during this time
  2. Pick one person through randomiser and everybody gives feedback to that person either through group verbal communication (if everybody feels comfortable and open) or verbal communication 1:1 over breakout rooms or written, until everybody gets covered in the same or next slot/s
  3. Once the process is over the receiver collates and sends the pointers for future references. Also seek clarification, if any
