As a designer, whether you are a UX/UI or product designer, you are likely bridging the gap between requirements and all the necessary documentation for engineers to implement the solution. Going from research to prototyping can be messy as multiple stakeholders need to be involved at every step of the process.

How can you effectively lead research sessions, manage feedback, and track approvals?

Let’s define a good way to run research sessions, whether they are group or individual interviews.

User interviews

To start, lead interviews by giving users a visual space where they can choose from options and interact with the interviewer.

This can be done asynchronously by adding a video (quick share/loom) to the session and asking questions as if you were there.

It’s important to add a due date for all participants to gather insights on time (even if you are running user interviews async).

Gathering knowledge and feedback from stakeholders.

The same process can be used to gather insights from stakeholders or ask for approval from certain people (like clients or managers).

It’s essential to facilitate and guide stakeholders by asking them questions.

Here are a few quick steps you can follow:

  1. Remember to ask welcome people by adding a message like this or by adding a welcome video.
  2. Facilitate/Guide stakeholders by asking them questions and providing options.
  3. Provide a transparent space where people can provide feedback and share their knowledge. Decisions should not be made in silos!
  4. Easily ask for “approvals” and track key decisions easily in one space.
  5. Remove uncertainty from the process. “Did Sarah approve this?” “Have you read my notes?” “Does anyone have any feedback on the new design?”

The same way unproductive meetings happen when the facilitator doesn’t ask the right questions, the same thing can happen with design meetings that are not run correctly. It’s important to ask the right questions, provide clear direction, and options to all participants.

Transparency is crucial across stakeholders to make decisions collaboratively and more if you are working asynchronously.

Designers must also be able to ask for approval and track decisions easily in one space.

This not only reduces the number of meetings but also makes it easy to gather feedback and provide well-thought-out feedback. This leads to better designs, faster delivery, and more focus time for designers to think of the best solutions. Use tools like Nova to facilitate user interviews and collaborate with stakeholders (during meetings or async).
