TournamentOS Case Study: Accelerating product development using Orcaso.

TournamentOS is the flagship product of Adya Sports Tech Pvt. Ltd. The aim of this innovative idea is to digitize sports and make its organization as transparent and efficient as possible. It creates a collaborative environment for everyone involved in sports to connect with each other including players, coaches, tournament organizers, referees, venue owners, fans, sponsors and more. The solutions TournamentOS presents to current issues in sports events and organization is what led it to being awarded the “Best Startup in Sports Sector” by the Confederation of Indian Industry.

Today it is a mid-sized rapidly growing startup with a team of 20 employees working hard and taking this startup to new heights. In addition to this, they also worked on an insider project to create a social networking platform with a team of 12 college interns. The team had jotted down around 120 tasks on a Excel sheet that needed to be completed in 90 days. However, this made the task management and tracking process very cumbersome and confusing.

That was when the team decided to give Orcaso.io a shot.

By switching to Orcaso, TournamentOS was able to create two ‘Projects’, one for the main project and the other for ‘Bugs In The Software’. The first few days were spent in transferring tasks from Excel to Orcaso to get a clearer picture of project progress. This greatly improved tracking because interns and employees began reporting necessary tasks they had been working on but were not listed with the other 120 tasks. Moreover, whenever a bug was found in the software, the team member could make their own task about it and others could pick it up and solve the bug. This increased collaboration and brought members together as one cooperative and efficient team and also reduced wastage of time and energy spent by various team members on finding and solving bugs. The leader of TournamentOS remarked, “Visually I could see tasks being moved from open to completed and I could understand if we were on track or not.”

Additionally, Orcaso worked very effectively to increase motivation among the team members. Earlier TournamentOS used Trello for all communication and task management. However, without any incentive, most team members rarely stayed updated on the app. On the other hand, with Orcaso’s gamified model that is rewarding and satisfying, the team found motivation to use Orcaso via the point system, badges and other rewards. It was this appreciation that was given to every member on completing a task that truly motivated them to work better and harder.

The biggest question as a startup can be if one is on track and if the required amount of effort is being put in every day. With the point system, Orcaso calculated the required amount of points that need to be completed everyday so as to complete the entire project within the set deadline. With this system, tracking progress was quite easy.

In a statement from the TournamentOS leader, it was said,

“To me it was very simple. If the required points per day has being achieved for that day, then the team could call the day off”

In the end, Orcaso worked well for TournamentOS. The tool motivated the whole team to get things done and thus saved time and energy on motivating people. Finally, the project was completed in 1/3rd the original estimated time, benefiting the startup and saving unnecessary expenses and extra investment of time and resources.
