An Employee Left The Company, But Still Has Pending Approvals
Laura, the manager, resigned because she is moving to Australia to be closer to her parents. She completes all her work and hands over to the new manager. Everyone is sad to see Laura go but bids her farewell in her new endeavor and gets back to the daily routine. Ben runs to Michael, the new manager, to ask if he could approve the pending approvals that Laura did not approve. What to do?
The best thing to do is contact us. But if you feel brave enough try these options.
Michael takes over Laura’s PO approvals immediately, but her account has already been archived. Michael does not have a “Finance Role” in Rubberstamp.io, so he cannot use the “Approval Override” function. The IT department should have kept Laura’s email address active for 2 weeks after she’d left the company. If they did, IT can save the day.
How can they do this?
Get the IT Department to log into Laura’s account and click the first tab: “Purchase Orders”. Then click on “Pending Approvals” -> Select the PO -> “Approve”.
Same as Scenario 1, but IT did not keep Laura’s email active for 2 weeks. As “CompanyAdmin” role, IT can change Michael’s role to “Finance” but if Michael is only allowed to be a normal approver, only finance can approve the pending PO’s.
How to do this?
Archive Laura(the old user).
Create a new user account for Michael.
Only the Admin user is allowed to log into their own account and change Michael’s role to finance user. The Admin user must go to the fourth tab on the top bar named Employee. The Admin User can then select Michael then press the Edit Account button.Under the Roles heading the finance function must be ticked and then click the Update button at the bottom of the page.
Michael as finance user can now go into to PO in question. Scroll down to the Other Actions Heading on the right-hand side and select Approval Override function.
Michael is not allowed the be a finance user. Any user in the Finance department can go into Laura’s PO’s and approve them.
Log into your own account.
All the approvals that are pending will be listed in front of you. Select the PO in question.
Scroll down to the Other Actions Heading on the right-hand side and select Approval Override function.
