To impress a client, your meeting room should have all the modern amenities, which are required for a meeting. This way you will be able to portray your company as classy and sophisticated. The interior and decoration is the first thing your client is going to notice when they enter your meeting room. The meeting room should be designed for the professional purpose only. If you choose something fancy, then it will leave a negative image of your company. It’s not necessary that you have to rent an expensive room in order to leave a positive image, renting a meeting room, which looks clean and professional will also do the trick. The purpose looking for a room like this is to give the positive vibes to your clients.

Appropriate Lighting:

Lighting is one of the most crucial parts of any room. This plays an important role in giving negative or positive vibes. A brightly lit meeting room will make your clients happy, cheerful and positive, which is very important factor in the success of a meeting. If the room is not lit properly, then clients will not be able to see the documents or papers properly.


The size of a meeting room is decided by looking at the number of the participants coming in a meeting. Your meeting room should neither be too small nor too big. A small meeting room will become crowded, hot and inconvenient for everyone whereas, a big meeting room is nothing more than the waste of finances. You will be spending extra money for the space you won’t be using. So, while choosing the size, always think about the number of participants.


Furniture of the room should describe the attitude of your company. If you are from an IT firm, then a room with light and casual furniture would be fine. If your company deals in cars, then a room with professional looking furniture is a must. Before renting a meeting room, always inspect the furniture because you don’t want your clients to sit on a broken chair.

Modern Equipment:

Modern pieces of equipment have become a must for any meeting. Your meeting room should be equipped with all the required equipment like LCD screen, projector, audio system, a board, air conditioner, mic, etc. These should be present in your meeting room and also in proper working condition.


While renting a meeting room, keep in mind that it should have a washroom and a waiting room. If your meeting room doesn’t have washrooms, it will make your clients uncomfortable.
