QuickBooks, known for maintaining organizational databases, features and tools, makes it popular among its users. One of its features is multi-user mode in which QuickBooks software can be used by multiple account users, may sometimes create issues while using this feature.

1. The hosting settings of QuickBooks are not correct.

5. Limited access mode to other users by the administrator.

Solution Guide to resolve the problem of QuickBooks Multi-User Mode not Working

Step 1: Rename Network files and Transaction Log Files

· Firstly, go to QuickBooks folder in C: Drive.

· Search for ND (Network Data) and TLG (Transaction Log) files, its is saved as suffix extensions .nd and .tlg.

· Type .old at end of these files.

· Again, try to use multi-user mode. This will fix the issue QuickBooks multi-user mode not working.

Step 2: Download and Install QuickBooks Database Server Manager

· Check if QuickBooks Database Server Manager is installed on your system, if not download and install.

· If you are installing, then check for custom or network type. If already installed it will overwrite but won’t create duplicate files.

· If you want QB Database Server Manager and QuickBooks Desktop on same system, choose ‘I will be using QuickBooks Desktop on this computer, and I will be storing the company file so that the same can be shared over the network.’

· Otherwise, select ‘I will not be using QuickBooks Desktop on this computer’, if you want it on server computer.

· Finally, select Install.

Step 3: Granting User Permissions

Sometimes admin or the system user has made limited access to the other users. May be like they can’t add, delete or modify without permissions, view is only available or sometimes they will not provide access. Follow the steps to resolve:

· Create a local user account

1. First click on start > go to settings.

2. Select accounts >Family and other users.

3. Click on option to Add user, then choose Add account option.

4. Select the option ‘ I do not have this person sign-in information.’

5. Choose option for adding user without Microsoft account.

6. Type correct credentials before clicking Next.

· Process to enable Local user to Administrator account

1. Click on start > settings >Accounts.

2. After that go to Family and other users and select account type and the account name.

3. Then choose administrative option in account type and click ok.

4. After completion, sign in as administrator.

Step 4: Modifying Folder Permissions

· At the very first step you need to go to start>file explorer or Windows+E.

· Then go to QuickBooks company file, the properties.

· Click on security > Advanced, then choose QBDataServiceUserXX and then click on edit.

· Now modify settings to Allowed mode.

Step 5: Configure the settings of Multi-User Hosting

To resolve the problem of multi- user mode not working, Configure the multi- user hosting settings.

· In QuickBooks, install multi- user setup.

· Next step, go to Files > Utilities.

· Click the Stop Hosting multi- user access option, don’t start it remember.

· Check if the error for multi- user mode is resolved.

· When system acts as server, go to QuickBooks in which open File menu > Utilities >Host multi- user access option to configure it.

Step 6: Verify ongoing services in the system

· Click on Windows and type services.

· Open and search for QuickBooksDBXXservice.

· Then move to general section and check for status.

· Stop it if it shows running.

· And then type click on Automatic option.

· Next go to Log On >Local System Account.

· Go to Recovery

· After that select option to restart service for the following: First failure, Second failure and subsequent failures.

· Last, go to General > Start, QuickBooks Database Server Manager will begin.

Step 7: Configure Firewall Ports

· First of all, go to Windows start >Firewall.

· Next step, go to Advanced settings

· And then right click on Inbound rule

· Then select New rule option.

· Click on port and next.

· Select TCP option and select particular portsfor the QuickBooks version. They are:

QuickBooks Desktop 2020 & later — 8019,XXXXX

QuickBooks Desktop 2019 & later — 8019,XXXXX

QuickBooks Desktop 2017 & later — 8019, 56727, 55378–55382

QuickBooks Desktop 2017& later — 8019, 56727, 55373–55377

· You can get dynamic port number and click next.

· Now you can create a new rule named ‘QBPorts(Year)’ and then click Finish.

· Similarly create a new Inbound rule for Program option and click Next.

· Select ‘This Path’ option and click on browse.

· Choose location on QuickBooks folder and click Allow Connection option.

· Click Next and establish a New rule named ‘QBFirewallException(name.exe).

Conclusion

Due to some technical issues QuickBooks multi-user mode was not responding. Some of the possible issues which have led to the problem are limited access by Admin, corrupted files, invalid user or hosting settings. By taking remedial steps we can resolve the solution.
