Definition of Terms:
Communication:
Communication is seen as an exchange of information, ideas, thoughts, or feelings between two individuals or a group of people. It can be verbal (speaking, writing, listening, and reading) or non-verbal (body gesture, eye movement, proximity and/or appearance).
Effective Communication:
Effective communication is the process of exchanging ideas, thoughts, opinions, knowledge, and data so that the message is received and understood with clarity and purpose. [1]
In essence effective communication is not just listening but it entails that its scope covers assimilation, clarity, and in-depth understanding of the context being communicated to the intended audience.
Characteristics of Effective Communication:
The characteristics of effective communication can be summarized using the 7 C’s rule which states that for communication to be effective it must be:
- Clear: The goal or message of the communication should be well stated. What is the purpose of enacting the communication?.
- Concise: In effective communication you keep it brief and straight to the point as lengthy sentences will lead to derail in information.
- Concrete: The message should have vivid facts and details with a concrete focus.
- Correct: When the information is correct and error-free the audience will understand it.
- Coherent: When you communicate coherently, the information is logical and the points are connected.
- Complete: Information is said to be complete when the target audience has all the key points they need to know and action lines if applicable.
- Courteous: Communication should be friendly, open, honest, and filled with empathy. Aggressive tones and word choices should be avoided. [2]
Importance of Effective Communication:
Effective communication serves as the cornerstone of a productive interaction and collaboration. It fosters mutual understanding, strengthens relationships, and drives positive outcomes. Without it, misunderstandings, conflicts, and missed opportunities can arise, leading to inefficiencies and setbacks. For instance, consider the case of a project negotiation between a stakeholder and a project manager where unclear communication leads to a failed deal or a project team where miscommunication results in delays and errors. The importance of Effective communication in the tech ecosystem cannot be overemphasized nor can it be attributed only to Project Management niche.
Below is an elaboration of some of the importance of communicating effectively:
- Innovation: Effective communication fosters an environment where ideas can be shared freely, leading to innovation and creativity in developing new technologies and solutions.
- Teamwork and Diversity: Communication creates an enabling environment for teamwork and interpersonal growth. It also creates room for inclusivity in the workplace.
- Customer Relations: The bedrock of any tech solution is to maximize customer satisfaction and this can be attained through effective communication. It can take the form of customer feedback to give a clear map of what the company needs to iterate in the next launch. This goes a long way especially when using the Agile framework.
- Problem Solving and Risk Management: Clarity in communication facilitates problem solving and risk management. Risks are identified on time and mitigation plans put in place.
- Collaboration: Tech projects often involve teams with diverse skills, from designers to developers, marketing and advertising teams, sales and distribution and project managers. Effective communication ensures everyone understands their roles and coordinates efforts efficiently.

Microsoft Communication Strategy for release of Xbox: Microsoft’s communication strategy for the launch of the Xbox Series X/S exemplifies effective communication in the tech ecosystem. The company employed a multi-channel marketing campaign, engaged with the gaming community, prioritized transparency and information sharing, created interactive digital experiences, partnered with influencers, and prioritized customer support and community engagement. Through these efforts, Microsoft successfully generated excitement and anticipation for its next-generation gaming consoles, while also fostering trust and loyalty among consumers. [3]
Strategies for Improvement:
- Active Listening: Active listening involves giving full attention to the speaker, understanding their message, and providing feedback. This is one of the core skill need to improve in one’s day to day communication. It helps to ask clarifying questions when needed.
- Fluid Communication Style: Understanding that different situations and audiences require different communication styles. Adapt your communication approach based on factors such as cultural background, personality types, and the context of the interaction. Some people understand the written word better, some better assimilate when spoken to and other will rather have a visualization of what information you are trying to pass to them.
- Reinforce Nonverbal Communication Skill: Nonverbal cues such as body language, facial expressions, maintaining eye contact, and gestures play a significant role in communication. Pay attention to your own nonverbal signals and learn to interpret those of others. Practice conveying confidence, openness, and empathy through nonverbal communication to enhance the effectiveness of your messages.
- Practice Proactive Communication: By practicing Proactive communication you seep yourself into the audience thus answering likely questions they have even before they ask. Reactive communication on the other hand will not aid much in effective communication.
Through the implementation of these strategies and continuous practice, one can enhance their communication skills.
