#1 Canned Responses
Gmail Canned Responses allows you to insert pre-formatted email content for sending similar emails regularly. It could be a great tool for Sales and Marketing Professionals if used wisely.
Instead of typing the same email repetitively, you can save your time by creating multiple Canned Responses.
Most of the Sales Professionals send hundreds of emails and proposals in a day, But, if they use canned responses, they can save a lot of time and energy.
Canned responses are preset email templates so you can take care of Grammar and Typing errors before hitting the send button.
How to use Canned Responses
- Go to “Settings” and Click on “Labs” on top menu
- Find Canned Responses in the Lab’s settings and enable it.
- On the top of the left-hand bar in your, Gmail click on “Compose.”
- Fill all details, write the email you want to have a canned Response.
- Now, click the arrow on the bottom right of the compose box, next to the trash icon.
- Select “Canned Responses” on the menu then click on “New Canned Responses” on the submenu.
- Name the Response, so it will help you recall when to use that Canned Response.
- Whenever you use your canned response template, it will ask you to insert a saved response, edit an answer or delete a response.
#2 Gmail Labels
Gmail Labels allow you to organize your email messages by setting up labels. However, Labels are similar to folders, in which you can apply more than one label to a single message.
The best part in labels as that it supports a maximum of 5,000 labels, including sub-labels. Sales and Marketing professionals can organize their inbox by creating different labels such as Leads, Contacts, and Deals.
Good labeling can help you organize your sales force. Suppose you named your label “Leads,” you can give it a color of your choice. Similarly, you can do the same for contacts and deals.
Labelling can also help in searching your potential buyer within your Gmail Inbox. Labels eventually makes you recognize who is the actual potential customer with the list.

- On the left side of a page, click on “More.”
- Click on “Create new labels,”
- Give the name to your Label.
- Click “Create” Label.
#3 Priority Inbox
Priority inbox sorts and identify your important incoming messages and separates them from everything in your inbox.
This Gmail priority splits your inbox into three categories: “Important” and “unread,” “Starred” and “Everything else.”
Priority inbox can be very helpful for Sales and Marketing teams, especially when your inbox is overloaded with emails and you don’t have time to read them all.
Priority inbox allows you to manage your Leads, Contacts, and Deals. It allows you to mark your priority to attend your customer.
Remark that deleting does not move the message to the Gmail trash that means which would remove it altogether. But you can move the email to the Inbox.

Google launched Offline Gmail feature to access and manage messages when you don’t have an internet connection.
You can even compose messages that can be sent when you are back online. However, viewing and searching messages all happens in the real-time but sent messages are stored until you reconnect to the web again.

How to activate the offline Gmail?
- Open your Gmail and Click on the gear icon and then Choose “Settings.”
- Click on the “Offline” option on the top menu.
- Click on “Install Gmail Offline,” option.
- You will be taken to a new tab of Google Chrome Store then Click on “Visit Website” Green Button.
- Now you can send your Mails to your customers.
Google provide you an emails alias with an alternative address that points to your user existing Gmail account. Almost, everyone has their primary email address for signing in to Gmail account.
Most important thing is that it may take up to 24 hours for the alias to become available. You can add up to 30 email aliases for each user.
Somehow, if a user wants another address for receiving mail, you can provide your email alias.
The key here is that you can create as many +alias addresses as you want, and the emails sent to that address will show up in your Inbox. What you can do, You can add a “+” to the end of any email address that email still goes to your inbox.
You can filter messages into a label. If you want to filter any lead, you can search in your Gmail inbox, and there you can type your alias which you want to filter out.
How to add an email Alias?
- Click on gear icon on the right side of your Gmail page, then click on”settings
- Then click on “Accounts” on the top menu.
- Click on “Add another email address you own,”
- Enter your alias base email in the box and then click on next button.
- Click on Add Account.
- Click Save Changes.
- Remember It may take up to 24 hours for the alias to become available.
