Project plan implementation for the conference of the Mobile World Congress

When you are looking to organize an event one of the first things that you need to do is understand what you are set out to do. In our case we wanted to create and organize an event inspired after the ‘’ WORLD MOBILE CONGRESS’’ (WMC).It is known worldwide as one of the biggest technological annual events. After long discussions our team converged on naming us ‘’FDR’’ which stands for Future Dreaming Reality. As FDR we created and set up the Mobile World Congress of Athens 2021 aiming to underline the latest technological trends.

Our philosophy: we and the organization od this event on the ‘’5Ws’’(why, what, who, when, where) methodology.

FDRs vision was to gather stakeholders, tech-leaders, influencers ,gadget enthusiasts and press in the country where the Olympic games began.

The main goal of this event is to provide and create. an intersection of telecommunication companies, multinational, innovators, investors, startups, network equipment providers and anyone who is part of the technological ecosystem. We aim at promoting and familiarize our participants with the newest and latest global technological innovations regarding ‘’Artificial intelligence’’ (A.I) , Connectivity: The 5G ERA , Customer Engagement, Environmental issues, Security and Privacy and much more and also a peek on products that have not launched yet.

The organazitation of this event also contribute greatly to an important goals strengthening the interest and investments in the Greek technological sector.

After many long hour meeting we created the event program catalogue which incudes everything that has to do with the event such as the ticket prices ,place, the food , speeches, products and service promotions ,entertainment and the award ceremony of one eco-friendly startup.

Everything and even food planning was only possible through a meticulous research that demanded the intersection of various information .One thing that was pretty difficult for us was making the budget as we did not quite know the methodology behind that but after hard work we managed understanding how it works.

The agreed upon date was October 19th till 22th of 2021 an ideal month for this conference based on the weather forecast. Tuesday is the opening day of the event and it lasts until Friday, giving the attendance a chance to rest and enjoy Greece on the weekend. The date was also a great choice because it did not overlap with any festivities of religious or ethnic origins.

The event will take place at the Olympic stadium of Athens and in Zappeion Megaron because of the events theme which is Olympic games. These places were perfect for us firstly because OAKA has the capacity of 18.500 people and they are memorable locations for hosting the Olympic Games.

Of course , before anything could happen we had to gain the interest of the sponsors and partners to help and support this event .We decided that our sponsors and partners should consist of professional device manufacturers ,network equipment providers, wireless carrier representatives, startup companies, volunteers and the press.

With regards to the marketing campaign we decides to focus on three different populations groups:

The older generations(Facebook, LinkedIn, TV, Newspaper)

The younger generations(Instagram)

For all the target groups(Twitter, website, YouTube, google ads, email marketing , outdoor marketing)

Our publicity plan has been organized 34 weeks earlier thought online and offline communications. We combined a professional organizing team ,Communication stakeholders in social media (LinkedIn, Facebook, Instagram, YouTube, Twitter), Programmatic advertising + digital marketing (email marketing, paid ads),Collaborations (partners, sites, speakers),Offline PR (sponsorship letters, managers and teams syncs, HR management meetings),Online PR (online meetings, online interviews, online syncs with managers and volunteers.

Our Start-Up idea

On the last day of the event a competition will be held at Zappeion where youth groups will present their ideas for the future of technology based on an eco-friendly strategic. The group with the most eco-friendly start-up idea will receive a grand as a price.

Corona virus outbreak

Due to the unexpected corona virus outbreak we had to rescheduled the event. Our steps were :

1. We publish a new press release

2.We announce a new event will take place when the pandemic is over

3. We create a new communication plan

4. We send emails to our clients, sponsors-partners and speakers

5. We include further information in the email in case someone does not wish to be a part of our new event

6. We keep the audience updated concerning the latest news

The planning of this event was an arduous task that required a lot of effort and communications between the members of the team. In the end we pulled through despite the unexpected outbreak and y applying the knowledge of the current and previous semesters especially from the Crisis Management lab.
