From UX to Product: How Did This Happen?

Imagine stepping into a room filled with brilliant minds, each one brimming with innovative ideas and the spark to change the world. That’s precisely what happened to me when I attended a captivating product management seminar hosted by IIT Guwahati. As a UI UX designer, the realm of product management has always held a special fascination for me. Thanks to the enterprising folks at the IIT Guwahati Ed Cell, I was introduced to the thrilling universe of product management.

Amidst this newfound excitement, PM School presented an intriguing challenge — a product case study that would plunge us deep into the dynamic realm of HR.

Picture this: a place where the wisdom of human expertise harmoniously dances with the cutting-edge capabilities of AI. Traditional HR processes are undergoing a futuristic makeover, and as the visionary entrepreneur Reid Hoffman aptly puts it, “The humanity of HR is irreplaceable, but technology can be the accelerant.”

My mission? To unlock GenAI’s hidden potential in HR, where tradition meets modernity. My quest? Discover a game-changing product opportunity in this dynamic landscape. Join us on this thrilling journey through market exploration, GenAI’s HR role, and heartfelt HR pro talks. My ultimate goal? Crafting a genius GenAI solution that supercharges HR processes and adapts seamlessly to market needs.

HR and Gen AI Tools? I Had No Clue!🤔

This was my initial reaction when I embarked on this case study journey. I found myself at a crossroads, unsure of how to navigate through the intricate world of HR and Gen AI tools. However, one thing I knew for sure was that immersing myself in product management articles would shed light on the path ahead.

After scrolling through dozens of insightful articles, I reached a few critical conclusions:

  • Engaging with Frontline Experts 🤓: To truly understand the intricacies of HR and Gen AI tools, I needed to connect with the individuals at the forefront. This meant talking to software engineers who were instrumental in building these tools and HR professionals who relied on them.
  • Market Exploration 📑: Understanding the market dynamics was key. What tools were in demand? How were these tools transforming HR processes? To tackle this aspect, I decided to delve deep into market research.

For my first task, I created a Google form and reached out to HR professionals from various backgrounds on LinkedIn. A big shout-out to Sagar Patro, HR and Sales Executive at DiracAI Services🙌, who kindly agreed to fill it out. We’ll dive into our conversation shortly, but for now, let’s explore how I tackled the second challenge.

To tackle the second issue, I spent countless hours scouring the vast expanse of the internet, meticulously searching for information on different HR and Gen AI tools. The result? A comprehensive list that would become the foundation of my research. Allow me to present this data to you in a clear and organized table.👇

In my enlightening conversation with Sagar Patro, I uncovered a world of transformation within the HR field. Gone are the days when HR was confined to paperwork and policy enforcement.

Today, executive teams are looking at HR to be a strategic powerhouse that drives insights across the entire business. And you know what’s marching hand in hand with this change? The emergence of generative AI tools.

HR professionals now have AI buddies to help with their daily tasks. But, honestly, they’ve been a bit slow to embrace these tools. Here’s the thrilling part: GenAI tech is changing the game. HR teams are already testing the waters with chatbots and AI in recruitment, and the results are mind-blowing. Efficiency is soaring, and fresh insights are flooding in. Hold onto your seats; HR’s GenAI adventure is about to skyrocket! 🚀

My mission was simple: understand how HR pros use AI tools, which ones they love, and where they still need help. Here’s what I found out from Sagar:

AI Tools That Shine 🌟:

  • Automated Resume Screening

Challenges That Await Solutions 📝:

  • Employee Engagement in Remote Work and Resolving Their Issues
  • Maintaining Confidentiality

As I delved into AI tools, I discovered which HR problems they cracked and which were still puzzles. User surveys and market research pointed to the big hitters: HR Analytics & Metrics and Recruitment & Talent Acquisition tools. These champs not only shed light on the tools but also revealed their real-world magic. I not only understood the tools but also how they work in the real world. So, what’s next? A clear problem space! 🚀

Surveys Lead to Solutions

You know what they say about product management —

nail the problem space, and the solution space will follow suit.

Well, I heeded that advice, thanks to those enlightening product management articles that nudged me in the right direction. It was clear; without a thorough understanding of the problem, crafting the perfect solution would be like trying to catch a cloud. So, I got down to work, diving into surveys to shed some light on the way forward. Above, you’ll find a table providing a Comparative Overview of the Market.☝️

Observation 1: Unaddressed HR Challenges

In my search for answers, I found big challenges in the HR world where current AI solutions seemed to fall short. Think of these challenges like unsolved riddles, waiting for someone to step in and save the day!

Observation 2: Fragmented AI Tools

But that’s not all! Besides these HR-specific hurdles, I stumbled upon another big problem that HR professionals face every day. Imagine this: HR experts trying to handle multiple AI websites, like circus performers on a tightrope. This fragmented AI tool juggling act brought its own set of challenges:

  • Tool Fragmentation 🧩: HR pros were playing the jigsaw puzzle game, managing an array of AI websites, each tailored for specific tasks. The result? Inefficiencies galore as they hopped from one platform to another, trying to keep up with their multifaceted roles.
  • Lack of Flexibility & Personalization🙄: Many AI tools had a one-size-fits-all vibe, lacking the flexibility and personalization required for HR tasks. It was like trying to fit a square peg into a round hole — repetitive and less engaging.
  • Reduced Productivity 😒: Switching between various AI platforms becomes a productivity-crushing exercise. The disjointed workflow hampers task management and turns information sharing into a Herculean feat.

Armed with these two striking observations, it was clear where the winds of change needed to blow!!🍃

Solving One Problem at a Time… But Which One?

I found myself at a crossroads, with a market gap so big it could fit a truck. Two intriguing paths stretched before me, each with its unique adventures. One led to tackling the unaddressed HR issues head-on, while the other promised to transform the HR tech landscape into something more user-friendly and less chaotic.

Tackling the first option would mean constructing a brand-new product — one that tackles the uncharted HR territories. However, I soon realized that certain HR challenges, such as employee relations, diversity and inclusion, employee wellness and well-being, and employee engagement and retention, were like delicate instruments that needed a human touch to be played perfectly.

As I grappled with the second issue, a bolt of inspiration struck!⚡ It happened during an exhilarating virtual product management seminar at IIT Guwahati, where I was introduced to Notion. Notion wasn’t just a tool; it was a boundless well of opportunities. An All-in-One Workspace, it flexed to meet the unique needs of individuals, teams, or bustling organizations. Templates and Pre-built Blocks were the real game-changers, providing a treasure trove of templates and building blocks for various purposes — project management, task tracking, knowledge bases, and more. It felt like having a time-saving genie by my side, ready to whisk away my troubles.🧞

The Circus of AI Tools

So, what fueled my drive to tackle the second issue? It was the realization that HR professionals deserved better than a never-ending circus of AI tools. The notion of Notion had already planted the seeds of inspiration, but what truly fanned the flames of determination to tackle the second issue was Clayton Christensen’s ingenious “Jobs to Be Done” Theory. According to this theory, customers don’t just buy products; they hire them to fulfil specific roles in their lives. As Christensen aptly puts it,

“What causes us to buy products and services is the stuff that happens to us all day, every day. We all have jobs we need to do that arise in our day-to-day lives, and when we do, we hire products or services to get these jobs done.”💼

Picture this: HR professionals can now personalize their workspace, whether they’re individuals, teams, or large organizations.
