這次要來談談,該如何寫一封拒絕訂購的回覆信。

就算訂單很多,讓公司有生意做是一件值得開心的事;然而,我們也經常會遇到不得不拒絕客戶的情形,像是公司來不及生產、該客戶有不良紀錄,或是該產品沒有庫存等等。這時,寫一封態度明確又不失禮貌地拒絕信是非常重要的,畢竟在未來,雙方或許還是會有生意。

在大學影印店工作的Ally,跟在ITI工作的Cindy是多年認識的老顧客。ITI已經跟大學影印店合作將近20年,每次都是隔月的一號付款。然而,ITI在這次卻沒有依照規定付清,並還要求新的訂單。大學影印店的老闆很不高興,並指示Ally跟ITI說,若不付清款項,就不接受訂單。但跟ITI合作許久的Ally知道,這次或許只是ITI漏掉而忘記付款,但她怎麼跟老闆解釋,他都不願改變想法。因此,Ally只好寫一封拒絕信給Cindy。

在信中,Ally必須了解,沒付款的是ITI而非Cindy。並且,因為跟Cindy合作多年,在信中的口氣不要過於拘束,並且也傳達自己願意幫忙的意願。

Ally該怎麼寫才好呢?

Opening

首先,不管是否接受訂單,都先謝謝客戶選擇我們,並也提及客戶的訂單。

Thank you for your order on May 17 for A4 paper.

謝謝您在5月17日訂購我們的A4紙張。

Detail

跟客戶說明理由,告訴客戶我們無法接受訂單,並試著給出替代方案。

Since the previous order has not been paid, we are not able to accept your order.

因為上一筆訂單尚未付清,因此恕我們無法接受您這筆訂單。

Closing

如果有提供替代方案,必須告訴客戶截止時間。並且傳達在未來還想跟客戶做生意,別因這次的拒絕而阻擋未來的機會。

Thank you for your understanding. If you have any further assistance, please let me know.

感謝您的諒解。若需要任何協助,請聯絡我。

Ally知道了拒絕信的架構怎麼寫了,於是她寄給Cindy以下內容:

Subject: Re: An Order of A4 Paper

Dear Cindy:

Thank you for your order for A4 paper.

I have mentioned your order to my boss. Unfortunately, he found that ITI still owed NT$16,000 for 16 boxes of Paperon A4 paper which was delivered to Kuang-Fu campus on 17 March. Therefore, he is unable to allow another delivery until the previous payment has been settled.

Moreover, he insists that all future orders must be paid in advance by either bank transfer or credit card. Although I spoke up for you and said that this bill may be just an oversight since ITI has been a good customer for 20 years and always pays bills on time, my boss still stood on his ground. However, if you can make the payment by 3:00 p.m. on Friday, I can bring these boxes by my car to ITI before you get off work.

As an alternative, if you find the details mentioned above unacceptable, I recommend you a new company in Hsinchu called The Office Guys. They might be able to help you although they are a little expensive. You can send an email to their contact guy, Andy Chen, at andy@officeguys.tw.

Cindy收到信後,發現自己確實忘記付款,並於截止時間內付清。她很感謝Ally告知她並願意幫忙。Ally的老闆收到錢後,氣也消了。從此之後,ITI和大學影印店又合作愉快。
