Ways to annotate text in PDF

Previously, we have already talked about the difference between a Text Annotation and a TextBox Annotation. In fact, PDF provides other opportunities to make changes to the text and make text corrections.

Today we will talk about other ways to annotate text and form notes for further editing of the text. I do not know if this topic will be of particular interest to anyone from the IT industry, but as a person who sometimes urgently needs to make comments on the text without changing its structure, these functions turned out to be very interesting to me.

Remind you: to add a Text Annotation, go to the menu “Tools”. A toolbar appears on the right side. Select the “Comment” tool. After that, a set of tools will appear in the drop-down window. It will help you to make text annotations of different types.

To make a text annotation in a form of an insert (sticker), you should click onto “Add sticky note” or just Ctrl+6. Place it anywhere in the document (usually next to the text you want to annotate). In the pop-up window, enter the text annotation and click “publish”. That is all! Text annotation is added. To delete this annotation, click on the three dots in the pop-up window and select the “delete” function.

Other types of annotation work on the same principle.

To underline the word according to which comments are made, it is necessary to click on the T icon, and then to select the word which needs to be commented. In the pop-up window, you can type a comment for this word.

In order to cross out the extra word / sentence, you need to highlight this fragment with the cursor and press T. You can also leave a comment in the pop-up window.

You can remove these annotations in the same way as the earlier one.

Another way to annotate text is to create sidebars. This is a pretty simple function, but very handy if you need to write a comment about a piece of text, leave your feedback, or suggest text/image replacement options.

Select a Drawing tools from the menu on the top panel in the annotation toolbox (Comment). Choose a position Text Callout. Put the cursor in the position where the commented object is found. Extend the frame to the part of the page where it will be more readable and aesthetically pleasing. The comment text itself can be formatted, which makes the PDF format even more functional and text-friendly.

In the next publications I will tell you about some more options for annotating text in PDF.
