💡 Working in a remote partnership requires you to have a defined set of tools to streamline your communication and collaboration.

Task and project management
Shared task and project management system to assign tasks, track progress, and see what’s been completed.
â–º Recommended: Asana, Notion Projects, monday.com, Trello, ClickUp

Instant messaging with voice capabilities
Purpose:
Establish a direct line between you and your EA so you can notify and unblock each other. Pick the platform you use the most and make sure each other's notifications are on. Voice notes enable more loss-less delegation as it’s faster and easier to convey context.
â–º Recommended: Slack, Signal, iMessage, WhatsApp

Knowledge management
Cloud-enabled document management/note-taking platform where your EA can access your existing documents and notes, and create new documents. (You may have different personal and professional systems.)
â–º Recommended: Notion, Google Drive, Evernote

Screen and presentation recording
Screen-sharing and walking through how you approach a process or task is one of the most effective ways to share instructions asynchronously.
â–º Recommended: Loom, recording on Zoom or Google Meet

Password manager
A secure place to easily provide access to passwords. An EA without password access is severely limited in how much leverage they can create for you.
â–º Recommended: 1Password, Dashlane, Bitwarden

Calendar
A digital planner where your EA can organize, add, edit and remove events and protect your time.
â–º Recommended: Google Calendar, Cron, Outlook

Email
To be most effective, your EA needs access to your inbox, and any other messaging platforms you use personally and professionally.
â–º Recommended: Superhuman, Gmail, Slack

Video conferencing
Essential for remote collaboration.
â–º Recommended: Zoom, Google Meet, Teams

Voice calling
A method for the EA to dial out and make phone calls on your behalf.
â–º Recommended: OpenPhone, Google Voice

Meeting note-taker
A tool to attend meetings alongside or on behalf of your EA, and to quickly produce transcripts and summaries of all video meetings
â–º Recommended: Fathom, Otter, Fireflies
