ModeLaw: Using A Web App To Amp Up Law Firm Productivity

If there’s one thing that BenefitMany has down pat amongst the applications we build, it’s helping our clients get organized. In most any field, having the ability to access all of your information in one place and navigate it easily saves hours of valuable time and innumerable fits of frustration. The application we developed for Marilyn D. York, Inc. Law Office in Reno, Nevada is no exception.

Attorney Marilyn D. York, marilynyork.net, is the largest exclusive family law office in Northern Nevada. Since their establishment in 2001, their main goal has been to serve the families of their community with the highest quality representation, but as a new business, getting organized was a big hurdle for them. Ray York, COO, went as far as to say that “nearly everything business-wise was being done poorly” and he saw their dire need to “Establish a custom and detailed billing system that tracked ‘Critical Numbers.’” He knew what they needed to get on the fast track to success — all he had to do was find someone to build one for him

Luckily, Ray knew just who to call, our CTO Wes Hays. “Wes has always kept us happy with his programming abilities and skills. He is very smart, quick, and dedicated to perfection,” he kindly said. From there on, the BenefitMany team has worked in conjunction with the Marilyn York to design an application for their employees that is intuitive and user-friendly, bringing us ModeLaw.

ModeLaw keeps track of all attorney and paralegal clients and hours, to ensure that hours are being billed and collected. In the past, the firm had observed a pattern of, for lack of a better term, generosity, amongst their lawyers — due to the nature of the cases and bonds formed between attorneys and their clients, attorneys were not billing and/or collecting payments from their clients. While a kind gesture, it wasn’t fiscally feasible.

So ModeLaw doesn’t just track attorney’s data and visualize their progress for the whole team to see, it also rewards the attorneys for meeting monthly, quarterly, and annual goals with incentives and prizes. For instance, an attorney who hits certain metrics in ModeLaw (e.g. new monthly clients, monthly hours billed, collection rate, etc.) can receive up to $500 in gift certificates per month. This, as well as their ability to view their colleagues’ progress, adds an element of competition that the firm has found very beneficial and fun for their employees.

Of BenefitMany, Ray says that working with honest, smart, and dedicated people is a “business blessing.” After Marilyn York, Inc. had us build them ModeLaw, the return on hours billed increased drastically for all of their employees. And in some ways, helped them create the kind of financially-driven company and the friendly but competitive team they wanted.

“ModeLaw was designed to maximize profits and is viable because it does,” COO Ray York adds. He talks of “off the shelf databases” and, while he agrees that they can “count beans,” he appreciates BenefitMany’s work in building ModeLaw because it does “so much more.”

In addition to “bean counting,” ModeLaw keeps track of and visualizes critical numbers, which York finds is useful in “quickly pointing out bad trends, and therefore facilitates maximizing profits.” As a seasoned veteran in the legal world, he’s tried a lot of different methods.

“In other words,” York says, “ModeLaw is not just another accounting and billing system that has some customized features. It goes way beyond that.”

Another piece of feedback we here at BenefitMany loved (and feel sums up how we work pretty well) was when he told us he knew BenefitMany could make “any improvements that we could articulate.”

As long as you have the general idea of what tool you need to help you succeed in your business, our expert team at BenefitMany is here to make it a reality.
