Dynamics 365 designed a module specifically for Sales to support the sales process from lead acquisition to the sale’s close. Dynamics CRM stores the contact information for new leads and tracks follow-up communications (phone calls, emails, and appointments) and the ability to qualify a lead into an account, contact, and opportunity.

You can display these results using the advanced find and adding multiple filter features to get a custom view of your data.

Microsoft Dynamics 365 Sales (CRM)

Entities:

There are a few basics entities within the Sales module of Dynamics 365 — Account, Contact, Leads, and Opportunities.

Each entity allows you the opportunity to capture their contact information for leads, contacts, opportunities, and accounts. These fields include names, job titles, contact information, company names, and more.

Below, we discuss each entity in more detail.

Lead — Any person or organization who is a prospective client. Creating a lead record about a new lead is often the first step Dynamics users take in the sales process.

Within the Lead record, we can:

  • Record specific sales engagement data, such as the purchase timeframe, estimated budget, and specifics notes about the Lead.
  • Qualify a Lead to an Opportunity which automatically creates Account and Contact details
  • Define specific sales process qualification steps
  • Create business process flows.

Contact –Track individual records inside of Dynamics 365. Dynamics 365 captures contacts’ critical information in a centralized database accessible to everyone in the company in real-time for complete contact management, including contact records:

  • The ability to track their company accounts.
  • Information on their contact records via several mediums such as phone calls, emails, faxes, etc.
  • Sales opportunities primary contacts
  • Service cases primary contacts

Account — Accounts can be associated with companies or vendors. Like contacts, it is possible to collect valuable contact information such as:

  • Company hierarchy
  • Company employees (Contacts).
  • Recent sales opportunities
  • Recent service cases (if you also have Dynamics 365 for Service)
  • Past and future activities related to the company.

Opportunity — Opportunities represent a potential sale from either a qualified lead or an existing customer. You can track your opportunities in Dynamics 365 for your individual sales pipeline. At the same time, management can track the overall sales pipeline for all sales reps.

Information we can track within an opportunity record includes:

ü Phase in the sales pipeline

ü Estimated revenue and close date

ü Key stakeholders and sales team members

ü Products/line items for the opportunity

ü Whether the opportunity was won or lost

ü Specific activities (Emails, phone calls, tasks, etc.)

ü Generate quotes that automatically pull the opportunity’s information.

Quote: -. You can store all the quotes along with the products/services they want and their respective quantities and prices. You can then activate the quote if the potential customer has accepted it. Dynamics 365 creates an order which you can share with the potential customer.

Order: — The end of the sales process. You can edit items in the order through Dynamics 365 and create the Invoice to share with potential clients. You can close the opportunity as Won or Lost depending on whether the deal closed.

Step 1: Capture Lead — Create Lead either manually or through automated systems (online forms, chatbots, etc.)

Step 2: Account Creation — Capture the company information in the account section after verifying the Lead’s quality.

Step 3: Contact Setup — Verified leads data gets copied in the contact section.

Step 4: Opportunity management — Once a lead shows interest in your product/service and asks for more information, you can qualify the Lead as an opportunity.

Step 5: Product Catalog — Add all the information about products and their pricing.

Step 6: Quote Management — Create Sales Quote.

Step 7: Order Management — Once the customer accepts everything mentioned in Sales Quote and confirms, convert the quote to order.

Step 8: Close Opportunity Invoice Management — Create a Sales Invoice and send it to the customer.
