In June 2024, BoldSign introduced new features to make signing documents easier and more efficient. This blog will cover these updates in detail and show you how each feature improves your experience.

Changes to download template behavior

Previously, when downloading a template document, the document would include the form fields added to it. Now, when you download a template document, only the original document without form fields will be downloaded. This change makes downloading and using templates easier.

Automatic document deletion feature

BoldSign’s automatic document deletion feature allows documents to be permanently deleted once they are completed, declined, revoked, or have expired, after being retained for a specified number of days. This feature helps maintain a clean and organized document repository, reducing clutter and ensuring compliance with data retention policies. You can turn on this option, select the required status, and specify the retention duration, all on the Business Profile page. Once enabled, the system will automatically delete documents based on the criteria you set.

For example, a legal team can set up automatic document deletion for client agreements that have expired or been completed. After retaining the documents for a required period, they will be automatically deleted, keeping the document repository organized and secure.

Background color support for label form field

BoldSign now allows users to add a background color to the label form field. This feature is particularly useful for modifying an uploaded file. For example, if you need to edit part of the content in a PDF document, you can easily do so with this feature as follows:

  1. Place the label field over the content you need to edit.
  2. Set the background color to match the PDF’s background color.
  3. Add the desired content in the label form field and send the document.

Consider a marketing manager who needs to update the date on a sales contract. By using the background color support for the label form field, the manager can cover the old date with a label that matches the document background color and add the new date, ensuring the contract looks professional and consistent.

API background color support for label field

BoldSign has introduced the BackgroundHexColor property to the label field in the API. This property supports hexadecimal color codes only, allowing you to match the label form field background with PDF page colors for a professional look.

With this feature, developers can maintain consistency and blend new text with existing content, ensuring that their documents have a polished appearance.

Team bulk send

The bulk send menu now includes the Team Bulk Send option, which is accessible to both account admins and team admins. Account admins can view and manage all bulk sends, while team admins can only view and manage bulk sends created by their respective teams on this page.

This feature is valuable in scenarios where the team admin needs to oversee their team’s bulk send activities. They can do so efficiently, ensuring consistency, control, and enhancing team collaboration and oversight.

Bulk link document expiration settings

Users can now set an expiration date for bulk link documents while preparing a bulk link in BoldSign. Once the specified expiration date is reached, signers can no longer access the document. Additionally, users can modify the expiration date after the bulk link has been created, offering greater control over document accessibility.

Imagine an event organizer sending out bulk link documents for an event registration. By setting a document expiration date, the organizer ensures that registration documents are inaccessible after a certain date, preventing late responses. If the event date changes, the organizer can easily adjust the expiration date of the bulk link documents to accommodate the new schedule.

Edit bulk link

This feature allows users to update details or add information to existing bulk links without re-creating them from scratch. You can quickly update the bulk link to reflect any changes in the document, ensuring all signers have access to the most current and accurate information. This saves time and effort while preserving the original bulk link URL, ensuring a smooth experience for both sender and recipients. It further enhances the overall efficiency and effectiveness of your document management process, providing greater control and flexibility.

Identity verification support for embedded signing

Documents sent with ID verification enabled can now be signed using the getEmbeddedSigningLink API. This enhancement provides an efficient signing experience while maintaining the security and integrity of the verification process.

Identity verification webhook events

BoldSign has added new webhook events for identity verification. Users can now receive real-time notifications on the status of ID verification through new webhook events, enabling them to monitor the verification process and confirm the timely completion of all required steps. These webhook events include verification initiated, verification successful, and verification failed, providing details into the progress and outcome of each verification attempt. This allows for proactive management and ensures a smooth verification process.

Document metadata support

Metadata support has been added to documents sent using the BoldSign API. This feature enables you to store custom data alongside your documents, facilitating a more organized and efficient approach to document management. With metadata support, you can attach relevant information to each document, such as client details, project specifics, and more. This metadata can be retrieved easily, with secure storage and simple searchability.

With this feature, a compliance officer needing to audit document metadata for regulatory purposes can easily access and review detailed metadata for all documents.

Append files in Template Send API

Previously, when sending a document using the Template Send API, additional files could not be added. Now, users can append additional files, such as related agreements, policies, or forms, alongside the main document when sending template documents for signature through the Template Send API in BoldSign.

This enhancement ensures a more comprehensive signing experience by allowing users to include all relevant information in a single package, ensuring recipients have everything they need for a thorough review and signing process.
