How Envoy Makes Visitor Sign-In More Delightful with Box

Envoy gets excited about smart ways to bring more efficiency, security and delight to your office. When you replace your sign-in book with their customizable iPad app, the app collects the visitor information so you can focus on giving the guest a better, more personal experience. It starts with capturing the visitor’s information: name, company, and even a photo.

For many companies, waivers and non-disclosure agreements are an important part of an office visit. The ability to — without hesitation — exchange updates with potential customers or create a strategy with a new partner helps keep your business running effectively and efficiently.

Envoy needed a way to keep legal teams in the loop while preserving a seamless visitor experience. All signed agreements are stored in the Envoy dashboard, but for a Box user, storing and accessing signed agreements is even easier. The Box Content API allowed Envoy to simply connect a Box account, create a folder for signed NDAs, and automatically upload signed NDAs directly to a Box folder.

Here’s how it works:

First, an employee creates a folder for signed NDAs in their Box account.

In the Envoy settings, an employee enables Box to store signed agreements.

Next, the employee is prompted to log into Box using their Box credentials and clicks “Authorize.” On the next screen, the employee grants access to Box.

Once access is granted, the employee returns to the Envoy settings and selects a folder to place signed agreements.

In the pop-up window, Envoy uses the Box File Picker to pull the root folder for the employee, allowing him or her to access the folder they created earlier. For a team with multiple offices, all agreements could be stored in one folder in the cloud for easy access by any team member.

Now, every time a visitor signs in, their signed agreement is saved in Box. Envoy uses the Uploads API to add a new file to the destination folder. The file name stores the visitor date and visitor name for easy viewing.
