How to Use Different Project Access Levels in Your Company

We recently announced our new Project permissions and we’ve been really excited about sharing it with you all. But we also want to make sure you know how to best utilize this new feature in your business! In this post, you’ll find a few examples of how to do just that, along with some pro tips on increasing your overall productivity using Buckets.

You’re probably already aware (or about to be!) that Buckets Projects used to be private only. However, our latest update offers 4 permission options:

  • Private viewer
  • Public viewer
  • Public editor
  • Public commenter

If you’re using Buckets to collaborate with colleagues or clients, this is a pretty exciting development as it knocks down those barriers that often dissuade people from engaging in something new. Our public permissions make accessible to everyone, whether or not they’ve actually signed up, it’s much easier to get the people you want on board — well — on board.

Here are a few ways of utilizing each permission option to ensure that you’ve applied the correct setting to each Project your team is working on.

Your Top Secret Project

If you have a Project that you only want to share with specific team members then you need to set it to Private Viewer. This is the setting that you’ll probably use the most as it ensures that the Project can only be accessed by the team members who are essential to that Project. Absolutely no-one else can view this Project aside from these members, even if they get access to the URL link.

What’s even better about this setting is that you can customize the access you give each member, which makes adding new contractors or freelancers a far less risky endeavor. Once someone has been added to your Top Secret Project, just click on the Sharing Settings, scroll down to Project Members, and click on the edit icon to see a drop-down list of access options.

Your Not So Top Secret Project

If you’re collaborating on a Project and want to grant easy access to non-members, you have a few options. Firstly, you have to set the Project as public, which means that anyone with the URL can view it. However, you can limit how much each viewer can engage by customizing access to:

  • View only
  • Comment only
  • Edit only

This is the ideal setting for Projects you’ve set up to gain feedback from users, onboard new freelancers, provide company information, show your product roadmap, etc. It all depends on how transparent your business model is.

If you want to keep a Project relatively private but still avail of the customized public access options then it’s a good idea to use your Project title as a “password”, i.e. one that isn’t too obvious to external users. This won’t stop anyone involved in the Project from sharing the URL but it makes it less likely to be discovered in a specific search.

Note: if your Project contains sensitive business information then you should always revert back to the Private sharing option.
