Bad systems exist everywhere

We’ve all been there. There’s a system or process that exists in your company or place of work. Everyone hates it, everyone blames it, no one is prepared to change it.

It can start off as something small but over time it grows into something bigger. It eventually makes you dislike your job which impacts your happiness and in turn your productivity.

If people are asked to work with broken, inefficient and outdated systems long enough both they and the business suffer.

Happy people -> productive businesses

Many businesses don’t seem to understand that if they improve their systems and processes they will have a happier and more productive team.

The qualities of good systems

From my experience of working with businesses around the world I’ve found that good systems typically have three qualities:

  1. Good systems are fun and easy to use

Make your systems enjoyable, make them look nice, make them reward people for good behaviour where appropriate.

This isn’t about making work trivial but accepting that the environments in which we operate and the way we feel has a direct impact on the quality of our output.

For example, if your team needs mobile access so they can work flexibly and on devices they enjoy using make sure you deliver this.

2. Good systems reduce business noise

Business noise is one of the biggest problems we face today. Email overload, information overload, meeting overload.

Good systems reduce business noise by providing a single point of truth for documents and information whilst removing the need for us to refresh our inboxes 24/7.

They send out information that is accurate, timely and relevant.

3. Good systems empower people

Good systems ultimately empower people by making it easier for them to get their job done. They take care of the heavy lifting associated with tasks so we can focus on where we add value in any given situation.

Good systems reduce stress and increase productivity

If we make our business systems fun, easy to use and designed to empower people then we end up with happier people and more productive businesses.

There’s a lot more work to be done in this space and that’s why we’re focussing on solutions that make all our working lives more enjoyable and more productive!
