Case.one has only been around for a few short years, but in that time, we’ve been able to grow exponentially and help create happy clients every day. One of the biggest reasons we’ve been able to do so is that we use the tools we sell in our daily work, just like our customers do.

While there’s much hand-wringing over the challenges and opportunities that automation poses to the legal field and other industries, the truth is this: in fields full of highly-skilled workers, very few if any jobs will be replaced by technological advances, especially in the coming years. What is also true, however, is that harnessing technology enables these same employees to lead happier, more productive lives — while increasing profits for the company.

A big part of this embrace of technology comes down to implementing processes and procedures that allow everyone to work smarter, not harder — and this all starts with a proper case and project management. We use our namesake tool Case.one to create, track, and assign tasks, enabling every team and department to coordinate our efforts in the most efficient way possible. Our clients, who operate law firms and legal departments around the world, make use of our time tracking feature, our client invoicing portal, and the convenience of our mobile app, among many of Case.one’s other features.

But while tracking our tasks is important, it’s not enough to make a company succeed; for that, we need tools that enable us not only to assign our tasks but to complete them as efficiently as possible. We believe in harnessing the power of technology and automation to make the work we do as meaningful and as fulfilling as possible, and we strive to make that happen in every department at our company. In addition to Case.one, we rely on the variety of other offerings in our suite of offerings to improve the work we do everyday.

Doc.one

Manually creating and checking documents is a huge time-waster — and major source of error — for many law firms and legal departments. Time spent searching for incorrectly tagged documents, creating new ones, combining documents, and manually entering necessary information into a new form causes almost a 10% drop in productivity in a typical firm, costing thousands of dollars per lawyer per year.

Thankfully, Doc.one provides an easy and user-friendly way to create and replicate documents in a manner that is both efficient and less error-prone. At Case.one, our sales team uses Doc.one to create documents and business proposals for our clients, keeping our entire process streamlined. In addition to contracts and proposals, you can also create workflows, save commonly-used forms as a template, and avoid needing to manually check documents before they’re sent out. No special knowledge is needed to duplicate and complete the documents once they’re added as a template, so anyone can create new and accurate versions of each document — not just those with specialized legal knowledge.

File.One

When you’re working on a case, it’s vital to be able to access every piece of information that you need. Unfortunately, in a typical firm, nearly half of documents aren’t centrally located, making finding what you’re looking for a huge challenge. Additionally, nearly 80% of a firm’s typical intellectual property is stored in email accounts, which are not always easy or intuitive to search.

You might think that the best solution is to mandate all files be stored in a shared drive or system, but this is not always an ideal or enforceable situation — and makes setting sharing permissions that can keep everyone happy and informed a true nightmare. While it makes sense to upload current case files and documents to a central location, it’d be a tremendous waste of time to ask employees to enter all of their emails, images, digital notes, and text messages containing case information as well.

File.one combines the best of both the centralized and individualized worlds: you can use File.one as a secure and accessible place to upload, share, and store documents, but you can also use it to connect and quickly search all the places where important case information lives, whether that’s your email account or Dropbox.

When it comes to finding those documents, many otherwise great systems fail. Typical document management systems think like computers — but File.one thinks like a human. The revolutionary search features not only let you look through all of the places your information might be, like synced email and drive accounts, but it also allows you to search non-text files for text using Optical Character Recognition, a vital feature when you’re looking for a scanned form. File.one also automatically extracts and indexes key information from connected documents, like who sent an email and what dollar amounts were discussed. When you’re ready to find a document, you can use logical operators and specific parameters to find exactly what you need.

Our marketing and sales teams use File.one to store promotional materials, whitepapers, and research documents in a safe, secure, and searchable place. They love the ease and convenience of the system, especially when they’re looking for a vital stat but can’t remember what project it was mentioned in, or when looking for all documents that mention a specific person or product.

Form.One

Form.one might be the most fun to use of all the Case.one tools. Our in-house counsel and HR departments use Form.one to answer general questions from other departments that they hear over and over again — but the great thing about Form.one is that they only have to answer the questions once.

Without any special technical knowledge, Form.one allows you to quickly and easily create chatbots that will keep clients and legal departments happy while decreasing the amount of time spent answering routine questions or fielding potential clients. HR departments (including our own) also love how easily Form.one can transform the onboarding process form an awkward drag into a quick and easy endeavor. You can create a chatbot using simple and intuitive drag and drop tools that are easy for anyone to understand, and you can embed the chatbot on your website or even in Facebook messenger.

In addition to answering routine questions, Form.one can also collect necessary data and even compile information into a document while you focus on more important things — whether that’s an important client meeting or dozing at the beach.
