Effortlessly Schedule Appointments with Google Calendar

A Step-by-Step Guide

Managing appointments can be challenging, but Google Calendar offers a free feature that makes scheduling easy and efficient. With Google Appointment Schedule, you can create and share booking pages so that people can book an appointment/meeting with you. Google appointment scheduling helps with creating an appointment, adjusting availability, and sharing your schedule.

In this article, I will share a step-by-step guide for creating an appointment schedule, adjusting availability, adding appointment details, and sharing the schedule. By following this guide, I hope you’ll find Google Calendar’s appointment scheduling features a helpful resource for effectively organizing your appointments.

To Get started with creating several slots in which people can book you

Creating an appointment Schedule

To create the appointment schedule follow the steps given below:

  • Click on the Create button available on the top left corner of the screen and select Appoint schedule or,
  • Click any date on the calendar and then click Setup the schedule to set up the appointment schedule as per requirement.
  • Add title.

Title is visible to others in their calendar too

  • Decide the appointment duration.

you can choose custom time too

  • Select the available dates and adjust the time.

you can mark unavailable, copy time to all and add another period to this date

  • Click the “+” button to add availability.

You can add another period/ multiple slots to this date by clicking “+” button

  • Click the unavailable button to mark unavailability on that day.
  • Click copy time to all to copy the same time to all available slots.

PS: Adjusting the available date and time cannot be done by dragging or clicking the calendar, changes can be made only on appointment schedule panel

  • If you select “repeat weekly”, the same appointment schedule will be repeated every week.
  • If you select “Doesn’t repeat”, the appointment schedule slot will be available only at the specific date and time.
  • Check the correct time zone as per your need.

Scheduling Window

  • The scheduling window is by default set 60 days in advance to 4 hours before.

PS: This means that someone can book you out two month (60 days) in advance but they cannot book you any sooner than 4 hours from current booking time

To manage the scheduling window, follow the steps given below:

  • Adjust the maximum time in advance.

PS: Deselect the first option, people can book you any time into the future, even four or five months from now

  • Adjust the minimum time before the appointment starts so that it can be booked.

PS: Deselect the second option people can book you just before few minutes too, depending on your availability

Adjusting Availability

Adjusting availability means you can change whether you are available or not on a specific date.

To adjust availability follow the steps given below:

  • If you select a specific date & select unavailable all day, the scheduling slots will be removed from that date.
  • If you select a specific date and add time slots, it will only make you available for that particular day.

Booked appointment settings

In booked appointment settings you can manage the appointments that will appear on your calendar.

  • Buffer time allows you to add some time so that someone cannot book you right after your ongoing appointment.
  • You can limit how many booked appointments to accept in a single day from the maximum number of bookings per day.
  • You can also manage permissions if guests can modify the calendar event to invite other guests.

PS: Our primary calendar is selected by default before clicking next, you can change the color from the color selection drop-down or add custom color.

Booking page photo and name

This will show your name and picture as listed within your Google account. To change either of them, click on manage Google account photo and name.

Location and conferencing

This will show multiple options for selecting the option for the meeting. Below are the descriptions for each of the meet types:

  • Google meet
    A meet link will be generated after the booking
  • In-person meeting
    Specifying the meeting location is mandatory if this option is selected for a physical meeting
  • Phone call
    The person making the appointment will have to provide the phone number for the meeting
  • None/to be specified later
    This will be best if you are using any video conferencing software you can choose this option and put the link in the description.

Booking Form

The booking form is the form that the person booking your appointment needs to fill out. Here, you can add required/non-required fields and customize the form.

PS: First name, last name and email address always be a required field.

  • Hit Save to save the appointment schedule to your Google calendar.

Booking Procedure for a person who wants to book your appointment

  • Select the available date and the available time slots
  • Fill in the required details and click book
  • Once booked, the confirmation pop-up will appear.
  • You can cancel or close the pop-up.

Sharing your appointment schedule

At last, you and the person who made the appointment will get a confirmation email with calendar information.

  • Share Link
    You can simply click on the appointment, click the share button, copy the link, and share that link wherever you want.
  • Website Embed
  • Change the button text and color (if you want) from the button text and color select drop down respectively
  • Copy code and paste it where needed

PS: It can be pasted on any application that will accept HTML code

  • Inline booking page
  • If you want to embed the booking page directly into a website, there is no pop-up just on the screen itself we can find the embed code there.
  • Copy the code and paste it where it is needed

Delete Appointment

  • Click on the appointment schedule on the google calendar
  • Click the delete icon
  • To remove appointment availability if the different options the following actions will be taken:

If selected “this week only” then it deletes the particular time frame only.

If selected “all weeks” then it deletes same day of every week. example: if selected Friday this will delete every Fridays’ that specific time frame’s schedule.

If selected “all availability” it will delete the entire appointment schedule.

PS:It won’t delete the already booked schedule.
