10 steps for building a great conference in no time

The first ever web3 builders conference in Israel has happened, and it was nothing short of amazing! Building Blocks’23 rocked Tel Aviv, bringing together some of the greatest tech talents in the world for a day-long event full of invaluable insights and experiences.

Despite having less than three months to put everything together, we made it a global affair, attracting builders and founders from all over the world.

Why Tel Aviv?

Because this vibrant city has everything it takes to be the next big thing in the web3 revolution! With its impressive startup landscape and 97 unicorns (yes, you read that right!), it’s no wonder why we chose it as the place to be for our conference.

But let me tell you, pulling off an event like this wasn’t easy. It took a lot of hard work and dedication, but we made it happen, and here’s how:

  1. First things first, always start with a brief, we had to define our main objective: Target audience, key deliverables, and messaging. That’s why we branded our conference as Building Blocks, as builders and founders were our main focus.
  2. Content content content: Without valuable content, no one would have bothered to show up. So, we created an agenda that covered all the essentials of web3 entrepreneurship, from building on leading protocols to managing psychology and staying focused, and everything in between.
  3. Secure speakers: We wanted to share the lessons, mistakes, and success stories of successful web3 builders, and we did just that by engaging industry experts who could deliver compelling presentations.

4. Of course, creating a budget was a must, and we made sure to consider all aspects of the conference, from venue rental to catering, marketing, swag, designers, security, and even music royalties. We set realistic targets for attendance and revenue and allocated resources accordingly.

5. Now, let’s talk about the venue! We wanted a place that would give off a builders’ vibe, and we found just the right spot — a very artistic hostel in Tel Aviv. It wasn’t a typical conference center, but it had that unique vibe that no expo could offer.

6. Organizing logistics was crucial, and we had a producer onboard who worked closely with our team to take care of everything from catering and transportation to registration and security.

7. Create a marketing plan, of course. We had to promote the event to our target audience, so we developed a marketing plan that included tone of voice, look and feel, messaging, social media, email marketing, and other channels to spread the word.

8. Building community was another essential aspect of our conference, and we engaged our members regularly to make them feel part of the event. In fact, some of them even became volunteers, and they were a real asset on the day of the conference!

9. Execute flawlessly — finally, the big day arrived. Everyone knew their roles and responsibilities, and the event ran smoothly. We had a backup plan in case of any issues, but thankfully, everything went according to plan. And you know what? We enjoyed every minute of it, knowing that we had worked so hard to make it happen.

10. Debrief — Always, learn from what you did, what worked, what did not work, what processes needs to improve, so you will be able to set a better infrastructure for your next event.
