Salesforce Pilot Programs: Permission Set Groups

The Spring ’19 Release is the update that just keeps on giving! We’ve already explored the new LE Help Menu, freshly added keyboard shortcuts, and the feature-rich overhaul of Salesforce Essentials, but there’s more! Nestled deep in the release notes is an exciting new pilot program: Permission Set Groups!

If you’re an admin with a few (or several) user-teams, you know that managing permission sets can be a bit of a headache. Whether you’re rolling out a new feature, onboarding a new hire, or just doing your annual audit, making sure that all the right boxes are checked on each profile can quickly eat up your afternoon. Previously, the easiest way for admins to save time on the task was to rely heavily on cloning existing users and their permissions — which is good for ensuring uniformity, but doesn’t lend itself well to mass-updates or evolving team dynamics. That’s why we’re so excited about this pilot program!

Now, instead of assigning individual users multiple permission sets, you’ll be able to combine your users into a permission set group based on their regular tasks and requirements. You’ll also be able to include permission sets in other permission set groups. Even better, updates in a permission set will apply to all permission set groups that contain it, so all your users will have aggregated, up-to-date permissions, without having to adjust them each manually!

The example Salesforce uses is an admin with a sales department that uses Sales Cloud Analytics templates and apps, surveys, and needs the ability to read, create, edit, and delete Accounts.

While that used to require adjusting three permission sets per user (yikes), with Permission Set Groups you’ll only need to apply the necessary permission sets once (to the sales group you create), and then you can apply that grouping to all of your sales employees!

That makes permission management easier and more effective — freeing you up to do your work, without all the extra picklists and checkboxes.
