In this case study, I’m going to talk about my learnings about designing a complex dashboard.

Desqworx Dashboard

About Desqworx

Desqworx is a co-working space that provides its clients with flexible workspace solutions, where they can partner with their customers and proudly facilitate their success with an environment that offers opportunities for networking and creativity.

In this case study, I’m going to talk about how I improved the overall user experience for the super admin dashboard.

The Internal Super Admin Dashboard

The super admin is someone who has all the control and access to each and everything that is happening under them. therefore, sometimes it becomes difficult for the admin to manage everything in one place.

As the company grew, the number of workers, Co-space, and Members on the platform also grew as well. The data to arrange all the resources, maintenance work, utilization rate, Billing and Payments, Analytics and Reporting, etc. was becoming difficult that’s when the first online portal got created but it was now outdated and not great in terms of functionality.

Hence, I decided to take up the challenge to redesign this dashboard.

Understanding the Problem

So I identified a few significant problems with the current dashboard.

  1. The lack of real-time updates creates hindrances in decision-making and operational deficiency.
  2. It had limited analysis and reporting which is a hindrance to gaining valuable insights for strategic planning and growth.
  3. It lacks a clear visual hierarchy and the use of too many colors is bad for people with visual impairment.
  4. The Graphical cards lack a clear information hierarchy and did not highlight the key data points.

Why do I think those are the problems that exist, You ask? let me show you why 😵

I’m sure you agree with me now 😆

LET’S SOLVE IT!

In this article, We will be focusing on these modules:

  1. Analytics and Reporting: Data-driven insights to analyze KPIs, and occupancy rates, and optimize operations.
  2. Co-Space: Manage the desks and centers to improve the
  3. Billing and Payments: Streamlined financial management, tracking payments, generating invoices, and monitoring revenue.
  4. Access Control: Managing access permissions, visitor management, and security protocols for a secure environment.

Let’s talk about them one by one…

The first thing I worked on was the side Navigation bar of the dashboard. because it is something that connects the whole design and gives you the bigger picture of the user flow altogether.

Let’s see how I worked on the design of the Navigation Bar.

Side Navigation Bar Iterations
Final Navigation Bar

Once the flow was clear I started working on the other main sections of the dashboard that are the most important priority for the super admin

Analytics and Reporting

I have combined the Dashboard and analytics and reporting into one page. Reason: The main purpose of the dashboard is to give you easy accessibility and to find the important things on the first page and that’s exactly what I did.

Final Dashboard

Once the dashboard was finalized I moved on to the next screen i.e., Co-Space

Co-Space

After finalizing the dashboard I moved on to the very important module for any admin and that is co-space. Under Co-space, One can manage the desk availability and centers for any space they want with few clicks.

User Flow for Co-space Module

I have distributed this above section in two parts for clear user journey.

Once I was done with the co-space module, I started working on payments and Invoices as it’s the priority for the admin to get all the updates regarding the revenue and expenses.

Payments & Invoice

Managing the financial aspect of the co-working space is essential. The super admin should have access to billing information, invoices, and payment records.

Key Takeaways

So these were my learnings after working on this project.

  1. This was a big project. Lots of pages, user flows, and edge cases. It was my first time working on a dashboard so it was a very interesting thing for me to design.
  2. Since there was a lot of content on every screen ensuring good information architecture was quite a challenge. But in the end with a lot of iterations, I was able to pull it off.

You have reached the end!

During this project, I developed my design process and learned that every project presents its own unique challenges. I came to understand that product design is a collaborative process that involves a cycle of feedback and iteration to refine and improve the design.

Through this experience, I gained the confidence to approach any problem with logical reasoning and an appreciation for the various considerations that go into creating a successful and usable design.

I hope you guys found this case study useful and informative. Feel free to hit me up on LinkedIn if you have any questions. I would be more than happy to have a chat with you.
