Dragon Boat Race Officials Checked Identity of 4000 Athletes with Mobile App

The City Cup International Dragon Boat Championship in Kaohsiung, Taiwan deployed PikaPage Athlete Registration and Check-in System successfully last weekend. 130 races in 2 days means a race every 5 minutes. With iPads and smartphones, official smoothly checked the identity of each participants.

Efficient Process, Fair Play

It had been a big headache for the organizer to collect and process photos and personal details of thousands of participants using traditional methods. It was also not environmentally friendly as a lot of paper was consumed.

With the new system, the entire process was online and paperless. Athlete identity was easily checked by looking at photo-team-list on a mobile device.Nevertheless, the organizer decided to still print athlete cards, more for souvenir purpose.

HOW IT WORKS

The idea is to have participant data (including a recent photo) available online for easy retrieval on different devices.

Athlete Registration

First, the organizer asks teams to submit participant data online. An URL and a QR Code is provided for participant to access the registration page.

On the registration screen, participants enter their details, as well as taking a selfie. For entries that requires further identification (such as students division), participants also take a photo of the relevant document (e.g. Student Card), and upload as part of the submission.

Previously, this is normally done by the team manager. Now, teams have an option to ask athletes to submit individually.

As it turned out, most teams submitted individually.

Approval

Officials are provided with an Admin Panel to review submission. It was a fairly easy task to quick check relevant info submitted. The official then clicks the approve button, or the reject buttons in case of rejected submissions.

Then, staff of the organizer do a quick visual check on the information on a web screen. He/she either approves the registration, or reject it for resubmission.

On race day, Marshalling Officials use the mobile screen to conduct the check-in process 5 minutes before each race. He/she puts a check against each participant present. A list of checked-in participant (like a manifest of passengers onboard an aircraft) can be retrieved at anytime, especially in case of capsize and rescue.
