Smartly do more works in a day, not in a Week

Take a moment and consider how typical your days are. Start from the second you start your work to till you call it a day and stop your works.

If you were to pick apart exactly how you spend everyday, and how much of it is dedicated to definite goal, and how many hours go for your leisure?

A World Bank report has shown that Dhaka people wastes 3h working hours to traffic congestion dailyout of the working day. Apart from that, in a recently conducted survey on Office Productivity, respondents were primarily questioned whether they consider themselves productive throughout the entire working day? Where the majority, 75% admitted that ‘no’ they aren’t. 20%, believe that ‘yes’ they are productive throughout the day, and 5% confuse. The survey then looked at the activities done instead of work, asking, where do you spend time during the working day rather than working productively?

Respondents were allowed to select more than one option if more than one applied.

  1. Checking social media — 30%
  2. Reading news websites — 7%
  3. Discussing out of work activities with colleagues — 15%
  4. Smoking breaks — 12%
  5. Text/instant messaging — 6%
  6. Eating snacks — 10%
  7. Making calls to partner/ friends- 11%
  8. Searching for new jobs — 9%

So, first of all you are wasting time on traffic, then on social media and others. That’s shocking and surprising, huh!

Being an employer, what is even more worrying fact then how people spend their time at work? In the same way, it is harmful for you and your employer.

To change how do you work, and complete more in less time, you have to be open to the option that your processes aren’t as useful as they could be. It needs to assessing your current formulas to find what to do and what skills can be developed. Once you are done with it, you can look for techniques to get more done without just increasing your to-do list.

When I was an university masters program student, one of my teacher taught me a lesson hearing the students excuses-

“Focus on being Productive, not Busy”

A first footstep to increasing your productivity is to create a personal routine that matches with when you are at your best each day. Don’t follow other famous person’s routine. That will never suit you. Make your personal routine for yourself.

If you are more of a late afternoon worker than an early bird, you are likely better off fine-tuning your timetable to match with the hours when you are most active rather than trying to work against your natural biological beat. You maybe have a pretty good intelligence of the time of day when you are most productive, focused or energetic.Maximum people are productive in the initial hours of the day. They do more, work well and get a lot done before noon.

The secret here is to work with your body, not against it. That’s why many local IT companies like Brain Station 23 and others are offering comfortable working times for their employees. Which is actually bringing good results back.

START WITH FULL OF ENTHUSIASM

Ever thought why you can get more work done on week starting day than the day before weekend? Reason is your mind are refreshed within this weekend and a brand new you join at work, most importantly you’re at work with a better energy level.

The most vital part of the of the productivity mystery is how do you start?

It’s okay to have off days and to feel tired after Wednesday. But if you can get enough rest at the end of the day, you will start each day fully set to face your list of tasks.

It pays to take time away from work every day by fully freeing by evenings, and get a solid 7–8 hours of sound sleep.

Never underestimate the Power of Sleep.

Most of us run on far too little sleep, after the daily work pressures, which will drive you to start another stressful morning at work.

Your productivity will surely boost if you can take maximum rest on weekends where you don’t check emails or stay away from social media updates.

It can be difficult to spend your weekends without your phone and laptop. But the good news is, if you can do it, you’ll come back with more energy for your work every time.

PREPARE A “TODAY” LIST

To-do list is a big thing. Choose to focus just on Today. Separate your today list from the BIG to-do list. Looking at your master list every morning, there is a chance to get puzzled.

Create a list of your key things to do tomorrow before you leave from work. Take near about 15–20 minutes to write down at most five things you want to achieve next day. It’ll be too late if you wait till the morning to create your Today list. Because the day already crashing down upon you.

Clearing priorities in front of you each morning, having a list available also makes it easy to move away from a completed task to whatever is next in those priorities.

I repeat, don’t start your day making a list of things to do when you could be working.

ENERGY MANAGEMENT

If you are a morning person, by the time mid-day hits, your energy will start to decrease, and you are not likely to do anything you don’t want to do. So always try and do the hardest or most valuable items first thing in the morning.

Energy management drives you to think of results as a function of energy, not the time you invested. Working with spirit for a short period of time can achieve more than working for days, tired and distracted. You can only do actual and creative work if you know how to manage your energy, time and devotion.

Breaks your work into short piece of tasks, and force yourself to complete single task within specific times. Even plan breaks on purpose.

When you work too hard and throw too much energy at a task, there is a chance to get failed without real progress.

GETTING READY TO WORK

Getting started is a common difficulty for almost everyone. If you can’t figure out what to work on first in the morning, you are likely to delay and leftover time in the mornings.

One simple way to make it easier to get started is by building routine that tells your brain and body it’s time to work.

Your routine could be a simple process: go to work, grab a cup of tea/coffee, prepare your desk, have a look at your “today list”, and get started.

CREATE FORCED DEADLINE

Spending more time at work doesn’t mean you can complete more tasks.

Think about it: When you have all morning or afternoon to finish a task, you will get it done, but you’ll also probably take rest for a coffee break or smoking, check email or social media update. But if you set an hour to get something done you’ll dive in and power through it. Forced deadlines work particularly if you have a lot to do.

A continuous reminder that your “deadline” is upcoming can force you to focus.

Knowing how to arrange and complete the task that matters the most for you on a daily basis can make you more active, and well-organized.
