Your Email Inbox is a Freaking Resume Black Hole

Stephanie is the head of engineering who needs to hire many great engineers in a very competitive market. Everyday, she receives resumes from colleagues and candidates who might be perfect for her open roles. However as she stares at her email inbox with thousands of emails, she knows she is missing out on many great candidates in this resume black hole!

Stephanie is not alone. Hiring managers and recruiters receive many resumes from colleagues and candidates every week. Those resumes often get buried within thousands of other emails. It becomes very time consuming to track every resume and find the resumes needed for current job openings. Imagine a method that allows Stephanie to focus her efforts on speaking with and interviewing candidates rather than parsing through her inbox, uploading candidate information.

Eightfold Email Sync

Eightfold’s Email Sync functionality intelligently adds all the resumes from a recruiter or hiring manager’s inbox to their talent pool. These candidates are automatically surfaced as leads for relevant positions, saving substantial effort & time during the sourcing process.

Recruiting teams can also set up custom email addresses for different use cases, like “careers@yourcompany.com” or “referrals@yourcompany.com”. Employees and applicants can send resumes which are directly fed into the company’s talent pool. Eightfold’s AI will automatically match these candidates to currently open roles they fit for and even resurface those candidates for future positions they have experience for.

Email Sync seamlessly integrates with common job boards, like LinkedIn, Indeed and others, which typically send recruiters and hiring managers resumes through email. Candidates’ applications from those sources are now automatically imported. Recruiters can easily prioritize their pipeline of candidates within Eightfold, eliminating the need to painstakingly sifting through their inbox, reviewing each resume and profile.

A Bit of Technical Detail

Eightfold asks users to first authenticate their email on the platform. Once authenticated, the system identifies all resumes in the inbox and imports them into the talent pool. The entire process takes less than a few minutes.

One of Eightfold’s most important priorities is to preserve the email privacy of the recruiters and hiring managers as much as possible. Therefore, our API queries are optimized to focus on only resume data and minimize access to private emails of our users.

The feature is designed to efficiently parse through attachments and identify those that are resumes. Importing files which aren’t resumes would negatively impact the quality of the pipeline. In order to exclude files which aren’t resumes, Eightfold defines a “strict import” mode which mimics how a people would identify if a file is a resume. We also validate these files by looking at required fields like name, contact information and prior experience.

When Eightfold imports the resume, it automatically performs a deduplication process where Eightfold checks if the imported candidate already exists in the talent pool. If a profile with the same name, email, and other urls is found, Eightfold updates any new information from the uploaded resume into the existing profile. If no profile is found, Eightfold creates a new profile and adds it to the talent pool. Upon completion of all the imports an email is sent to the respective recruiter or hiring manager, linking them to the newly imported candidates.

After the imports are complete, all the candidates are automatically matched to the role they best fit using Eightfold’s AI capabilities.

This import functionality is triggered the first time a user authenticates an email and is then run periodically. This makes sure that accounts are always kept in sync while providing an almost magical experience for users who will see their pipelines automatically filled with candidates from their email.
