TL;DR: When an event is canceled we’ll message participants and lock the event

Sometimes you just need to cancel an event. Eventbot makes this easier with smart new features to help you manage your events !✨ 😍

How do you cancel an event? There are two ways to cancel an event. Most easily, find the event you’d like to cancel and click “Remove”. This will remove the event from the channel and post a message letting folks know. If the event is not in any other channels, we’ll consider this event canceled and post a message into the channel. However, if the event is in multiple channels, then it’s only removed from that specific channel (but the event itself still exists).

/events mine will show you the cancel button

There’s an additional way to cancel an event, using the new command “/events mine”! This command will show events that you’ve created. Press “Details” on the event you’d like to cancel and then “Cancel”. When clicked, the event will be canceled across all channels, so it’s especially useful when your team has lots of channels. Only the event creator 👑 can cancel an event across all changes.

What does it mean when an event is cancelled? Well, four major things happen once an event has been cancelled:

  1. 🔒 All the event actions will be locked. This means folks cannot RSVP, edit, or invite others once an event is cancelled. The buttons will remain visible in the chat log, but Eventbot will send you a polite error message if clicked.
  2. 📆 The event will be removed from any external calendars applications. Eventbot will remove the event from Google, Outlook, or other application you are sending events to.
  3. 🔕 Reminders for the event will no longer be sent. Once an event is canceled, Eventbot will also cancel the in-channel notification and everyone’s personal DM reminders.
  4. 💬 We’ll send out notifications to people who RSVP’d. If you cancel the event before it begins, we’ll notify the people who said they were interested in the event.

What if I mistakenly cancel an event!?
Don’t worry, we know mistakes happen. Once you click “Remove” and successfully cancel an event, we’ll give you 15 minutes to restore the event. This means we won’t sent the notifications to participants until that 15 minutes has elapsed. However, if the event start time is 15 minutes away (or less), then you’ll have only 1 minute to restore the event, before it becomes locked and notifications are sent.

These features are available today on all Eventbot plans! Have you used these features or need some additional functionality? We’d love to hear from you. Send us your ideas! 💌
