Nowadays connecting your chatbot with your CRM isn’t a big deal. You can handle this with ease just by making a few clicks and logging on to your CRM accounts. As easy as that! In this blogpost/article, you will find a step by step guide that will allow you to connect FAQBot to Hubspot using Zapier. The same concept can be used to connect FAQBot to any other CRMs available on Zapier, which has almost all of them. So let’s get started!

Prerequisites:

This article is written to guide FAQbot users to connect their chatbots to their Hubspot CRM, so you must have functional FAQbot and Hubspot accounts.

Setup FAQbot:

This assumes you have a basic understanding of FAQbot’s setup like FAQs and Guided Flows. If you want to know more about the setup then you can watch recordings or attend weekly/monthly webinars, or request a demo today.

Setting up a conversational flow in FAQBot is very easy and straightforward (thanks to their user-friendly interface) compared to other chatbot service providers. For a better understanding below I have added a few screenshots from the set up steps. Let’s dig into the steps for setting up a conversational flow for Zapier.

  • Log on to your FAQBot account.
  • Go to the Conversations -> Guided Flows (sidebar on your left)
  • Add/Update a Guided Flow
  • Enter a unique name under the “User interaction name” field for each user node (blue ones).
  • Enter a unique name under the “User interaction name” field for each user node (blue ones).
  • Save. That’s it!

So far we are good regarding our FAQBot setup. Let’s move to the next step and finalize the integration.

Linking the Guided Flow with HubSpot:

As we are about to connect FAQBot and HubSpot, we should know a little background information on how it’s going to work. We are going to connect FAQBot with HubSpot using a third party application — Zapier. Zapier works as a bridge between two applications to automate their actions or services. They use the term “Zap” in their interface for each connection of multiple platforms where it triggers an event from one application and does an action in other applications.

“A Zap is an automated workflow that connects your apps and services together. Each Zap consists of a trigger and one or more actions. When you turn your Zap on, it will run the action steps every time the trigger event occurs.”

Enough with the theory, let’s see how simple this is.

  • Create a Zapier account (optional in case you already have it)
  • Log on to your Zapier account
  • Fill in the form from Zapier’s dashboard under the “Create your own workflow” section.
  • Select “Faqbot” app in the “Connect this app” dropdown field.
  • Select “New Completed Flow” in the “When this happens” dropdown field.
  • Select “HubSpot” in “With this one!” dropdown field.
  • Select “Create Contact” in “The do this!” dropdown field.
  • Set up a Trigger
  • Click on “Try it” and this will take you to a setup page.
  • Click on Sign-in to Faqbot under the “Trigger Tab” -> “Choose app & event” -> Choose account.
  • Enter your Faqbot credentials to sign-in to Faqbot.
  • Select account and Click on Continue.
  • Select a Guided Flow under the “Set up trigger” tab -> “Guided Flow”, you want to connect with HubSpot. In our case it’s Contact Flow from our Faqbot account as we have set it up earlier in this post.
  • Test Trigger and click on Continue.
  • Set up an Action
  • Click on the Continue button from “Action” Tab -> “Create Contact in HubSpot”. Make sure your “Action Event” field has a value of “Create Contact”
  • Log on to your HubSpot account.
  • Map the appropriate Flow nodes with HubSpot fields. E.g Name with Contact First name and Email with Contact email etc.
  • Test the action.
  • Click on Turn on Zap. That’s it 🎉.

Now you’re good to go! Faqbot conversations will be entered as Contacts in your HubSpot.

The integration of Faqbot is not limited to HubSpot, there are many possibilities of connecting Faqbot to many different applications with many different use cases, like creating an event, updating excel, sending messages or emails etc. You can contact the account manager to find out more about it.

I tried to cover almost all of the parts of this integration, I hope this helps. For now, that’s all folks. Thank you for reading this. Cheers!
