Scrubbed started with a trusted core staff. Their founders had excelled at the Big 4 accounting firms. That experience informed their client processes, caring for the core requirements of business owners and managers. They knew they could offer more: more insight and less friction. It struck us what one of the accountants said when he first saw a demonstration of the spreadsheet: “I didn’t understand what was going on.” Now, most accountants use spreadsheets constantly. Spreadsheet software capabilities define modern accounting.

Old technology hangs on because people get comfortable with it or they just don’t realize there’s a better way. Some people handwrite letters to this day. Zach Galifianakis relied on a pager throughout The Hangover trilogy. That’s fine for grandmothers and fictional characters, but when a business clings to outdated methods, it wastes money, time, and resources.

Telephones rendered telegrams obsolete. Fax machines replaced snail mail; then email replaced fax machines. That may seem obvious to you, but Western Union didn’t discontinue domestic telegram service until 2006. As of this writing, Amazon has over 3,000 new and used fax machines for sale.

Entryless wants automating bills to be easy for every business. If you have multiple clients, entities, companies, branches, and divisions, bill entry and management can be even more complicated. We architected Entryless to work for people who manage multiple businesses.

Each Business Is Unique

To match the real world, each business is configured separately in Entryless. They have their own attributes and can function totally independent of others under the same master account.

Each Company In Entryless Has Unique…

• Cloud accounting synchronization settings
• Entryless email account
• Users and user roles access settings
• Tax settings

That means that one company can synchronize with Xero while another integrates with Zoho Books or QuickBooks. One can be subject to tax while the other is not. An employee of one company can review bills but not have access to another business under the same master account. We want Entryless to accurately reflect your companies and give you centralized access.

Before You Begin

You can set up another company once you have created your Entryless account.

Adding Your Second Company

In your Master account (the account you created when you signed up for Entryless) you can create as many businesses as you need for no additional charge.

1. In the user menu on the upper right, click CPA Settings.
2. To add a company, type the name of the company and then click Add Company.
3. To remove a company, click it in the drop-down list and then click Remove Company.

The CPA Settings dialog allows you to add and remove companies within your master account.

Switching Between Companies

Web Application

To switch between companies while using the Entryless web application,

• Click the current company name on the top right of the window,
• Then click the company you wish to switch to.

Switch between companies by clicking the current company on the top navigation bar.

Mobile Application

Switching works similarly in the mobile application. In the left navigation, click the company name to switch between companies.

Mobile Entryless users can access multiple companies, too.

Configure Each Company

Once you have selected your new company, configure it as you did your first company, adding a cloud accounting system synchronization, users, and tax information. Claim a unique Entryless email for each company. Feel free to add as many companies as you need!

Each company is configured separately with their own attributes.

People often state concerns about the security of cloud services. It is a very important conversation, and I want to speak openly and honestly about security for financial and accounting information.

In your office, you might have protection against fire and break-ins. However, do you have an ultra-fast, comprehensive, automatic fire suppression system? Do you have 24-hour access control that scans fingerprints and retinas to confirm the identity of everyone who enters?

Probably not. Although both would be welcome features, they are more expensive than you can reasonably afford for your office. You do your best; fire or theft that claimed your client files would be disastrous. It is your duty to protect client information from damage and misuse.

Security Is Constant Diligence — Not a One-Time Job

Security experts seek to reduce risk. The goal of a good security plan is to create the most secure environment possible.

For accountants without a staff of security experts, the ultimate responsibility for how to secure data falls to the person managing the operation. That manager makes purchasing decisions that provide the most security possible. These can be tricky decisions without a lot of quantifiable data to guide her.

Entryless (entryless.com) announced today that its QuickBooks Online integration is now available in the QuickBooks Apps center (appcenter.intuit.com/entryless). Its goal is to help accountants scale their practices beyond the manual process of bill entry and paper pushing.

Accountants and their customers can send bills in any format to a dedicated Entryless email address or upload them through a browser or mobile app for iPhone and Android devices. Entryless captures the bills automatically and translates them into each software’s proprietary format. Clients then only need to audit and approve the bills.

Along with QuickBooks, Entryless integrates with several other major cloud accounting platforms.

Entryless has already proven that its solution scales to large clients. One of Malaysia’s largest cloud accounting companies is eXtracc. Director of Business Development Aiman Ezanee uses Entryless as his bill automation solution for a large group of McDonald’s franchises in Malaysia. As you might imagine, the sheer number of bills kept a full team of data-entry staff busy when done manually.

“We had up to six people at a time working on ledger entries,” said Ezanee. “Now, with slick features like drag and drop, AP is 70% automated.”

Entryless’ founder, Mike Galarza, worked in the trenches before creating his company and saw the same problems firsthand. He managed finance and accounting at a large manufacturing company and watched the accounts payable process gobble up large chunks of his team’s time, even with top-of-the-line accounting systems.

“Before we came around, the bill automation options only offered partial solutions. They only worked with some suppliers, and there were large startup costs that often kept businesses from buying the software,” Galarza said. “We want to solve every company’s payables issues, and solve them quickly.”

Galarza noted that QuickBooks boasts a robust program specifically for accountants called ProAdvisor, which parent company Intuit says has over 65,000 subscribers. He said that integrating with QuickBooks Online became a priority for Entryless, to provide a seamless solution for this market segment.
