Event Chatbots for the Win

While chatbots are currently most commonly known in the context of e-commerce and customer support, their rapidly increasing capabilities make them super nifty tools for a far longer list of applications, including assisting with event management. These smart and super-speedy little virtual agents have the ability to offer valuable support when it comes to the smooth planning of an event and ensuring a great experience for attendees.

Feersum Engine has had the privilege of building chatbots for numerous corporate conferences and we’ve been really chuffed with the positive response and high levels of engagement from guests. Not only have these event chatbots proven to be super valuable in terms of practicality — for reasons that we’ll cover in more detail below — but they also add that super slick chatting cherry on top of the event.

From corporate conferences, to music, running or cycling events, annual expos or even a large, multi-day wedding, here’s why chatbots and events are a match made in event organising heaven.

Out with the apps, in with the new

Apps created specifically for events just aren’t practical. They require data to download, take up memory and are generally dragged to the trash folder in no time after the event. The average Feersum Engine chatbot is not only cheaper and far quicker to deploy than the average app but is also able to be integrated across multiple existing instant messaging platforms that guests already know, use and love, such as Facebook Messenger or WhatsApp. So, there’s no need for the hassle of guests having to familiarise themselves with anything new. Win!

Admin made easy

Chatbots lighten the load of event-planning admin, such as ticket sales, registration and notifications of any changes to the event. Automation of these processes frees up event organisers to focus their time and energy on other tasks that need more human attention.

Event info on-demand

With every event comes a list of FAQs. And with every list of FAQs comes another list of questions that aren’t on the list of FAQs. Depending on the size of the event, managing queries can become overwhelming and unless the event is kitted out with a team of dedicated people to answer those queries, guests can often be left frustrated by delays in finding out the information that they need. Enter the chatbot. Need to know where to park? Not sure what food will be available? The guest simply types in the question to the chatbot and has their answer in no time.

This doesn’t only relate to questions prior to the event, but also those that guests may have while at the event. For example, what time that interesting talk is happening or what food traders there are at the event — it can all be at guests’ fingertips — less admin for event organisers and instantly informed guests.

Also, while an event chatbot may be able to respond to multiple queries from large amounts of people simultaneously, they’re able to do it in a way that still feels personal through their use of natural language and ability to tailor their responses based on the user’s input.

More wins in the bag!

A wealth of insights — kaching!

One of the greatest beauties of chatbots is that, while users are casually engaging with them, they’re constantly gathering highly valuable data and user insights through natural, non-intrusive chat.

This also makes gathering of post-event data much more pleasant for the user than sending out mundane surveys for them to complete. Instead, the chatbot is able to ask relevant questions about the user’s experience and gather insights that help make better decisions when planning future events.

Users can easily rate talks or speakers using the chatbot, thereby giving the event organisers insights into whether they should offer that specific talk again and which speakers to feature closer to peak event times.

Such information can also be a highly valuable offering to event sponsors.

You guessed it…win!

The opportunity that chatbots offer for improved attendee experience and engagement makes them the perfect addition to an event planning strategy. And, paired with their affordability and quick deployment — it’s no wonder more and more event organisers around the world are unleashing their potential.

Soon everyone will be asking — ‘Does your event have a chatbot?’

Well, does it?
