This use case explores how they transformed their inventory processes using mobile technology and Google Sheets, leading to more accurate and timely results.

The Challenge

Previously, the client’s stores received monthly shipments containing thousands of items from overseas, each accompanied by a packing manifest with hundreds of item types, each barcoded. The traditional process involved several cumbersome steps:

  • Manual Handling: Unpacking and sorting each item manually.
  • Paper-Based Tracking: Workers, often not tech-savvy and handling small items, resorted to writing down barcode numbers and quantities on paper. This “paper trail” method, prone to errors and inefficiencies, is a challenge still faced by 40% of US businesses managing inventories manually.
  • Data Entry: Office admin had to manually enter this data into Google Sheets and confirm counts, adding hours of additional work across multiple stores.

This labor-intensive process often extended over several days, leading to potential sales losses and frequent inventory inaccuracies.

The Solution

To streamline this cumbersome process, the store owner introduced the Gear Inventory app, a mobile application that significantly optimized inventory management. The new procedure was restructured as follows:

  • Live Monitoring: This setup allowed office admins to monitor inventory levels in real time, ensuring discrepancies were quickly identified and resolved.
  • Elimination of Manual Data Entry: The real-time sync feature eliminated the need for office admins to manually enter data, as all updates from the scanning process were directly reflected in the Google Sheets. This saved additional hours of administrative work and reduced the potential for data entry errors.

Detailed Results

The implementation of this new system brought significant improvements in efficiency and accuracy:

  • San Jose Store: Completed inventory reconciliation in approximately 2 hours and 24 minutes.
  • Valley Fair Store: Completed the tasks in 2 hours and 45 minutes.
  • San Francisco Store: Completed the process in approximately 2 hours and 4 minutes.
  • Warehouse: Managed to complete the task in approximately 1 hour and 17 minutes.

The average completion time was 2 hours and 8 minutes. Previously, the entire process took over 2 days per store with inaccuracies. The time saved in the inventory reconciliation process is approximately 91.11%, representing a significant reduction compared to the previous method. It doesn’t even include the several hours of time saved on manual entry by office admins.
