Otherwise, lets talk about how onboarding 22 new hires a month ACTUALLY works. And software to make it easy.

Wow in your onboarding process. It makes a difference.

Prior to Glance helping out, RevGen manually onboarded each new hire. PreShus and Marci waited until the new employee arrived to work on Day 1 and then printed off about 15 different pages to begin the process.

These 15 different pages would need to be accurately completed for each of 22 new hires a month and then scanned in to ShareFile so the accounting department could access the needed information.

Imagine having to verify 330 pages were completed correctly and THEN scan each in.

This took up hours and hours of both the new hires and HR departments time and was dying to be automated. After reviewing the entire process (and budget available) we determined using a tool called SignNow would handle the bulk of what we needed.

Luckily, RevGen already had a subscription to SignNow so not only would this optimization save multiple hours a month, it would also incur no additional cost.

Cue a few minutes of uploading documents like a 990-EZ (all that fun stuff you hate to fill out!) and we now had digital versions of the files. Only half the battle completed but progress.

Now we needed to go through each document and add in the correct fields. This ended up being more difficult than initially thought since many fields are optional or required only if another box is checked.

After troubleshooting and working our way through the list of requirements we were able to set the documents up as needed and were ready to tackle the organization and automation of this process.

We settled on creating folders for each hiring class and upload a CSV of the new hiring classes email addresses when decisions have been made. We send out a welcome letter using Mailchimp (post about this coming soon) which includes all the relevant links to onboarding documents and a personalized “welcome to the team” video from John Rosar, RevGen’s CEO.

Now, in less than 5 minutes the team can effectively exceed candidate expectations in joining the team.

The welcome email is automated to collect each document from each new employee and store it labeled correctly in the required hiring class folder, enabling the team to focus its energy in other locations and continue iterating through becoming the best sales recruiting department in Raleigh.
